PURPOSE OF THE ROLE

The core purpose of the role is to provide financial administration support and advice to the National Trust for Scotland General Managers and their teams within the Edinburgh and East Region and Glasgow and West Region.

Critical to the success of the role will be to develop a thorough understanding and knowledge of Trust financial processes in order to act as an advisor to various stakeholders across the Trust. Key to the role will be to gain an active understanding of the operation of the properties, so that direction and advice can be given on all aspects of financial recording and accountability. In this respect, visits to the properties will be required on occasion.

The post holder will be proactive in providing guidance and support to the Finance Manager, General Managers and their regional teams, Property Managers and their teams across a wide remit of financial duties, in order to ensure that duties are carried out in a timely and accurate manner. They will also be proactive in suggesting where improvements can be made and risks mitigated.

KEY RESPONSIBILITIES

The key responsibilities of the role will be:

• Undertaking daily, weekly and monthly monitoring of property financial information

• Production of monthly variance analysis (income/expenditure) to be reported to the Finance Manager

• Co-ordinating the submission of a variety of financial reports to the General Managers, Property Managers and Finance Manager for review

• Co-ordinating the effective and efficient recording of income through the Weekly Reporting Database (WRD) by Property staff

• Supporting the timely preparation of monthly and annual accounts together with monitor reports

• Assisting the properties with annual budget preparation and quarterly forecasting

• Managing the invoicing, contractual and data recording requirements of functions and events undertaken at properties in line with Trust policy

• Reviewing expense claims, including VAT

• Assisting the Finance Manager, General Manager and Property Manager in preparing, calculating and submitting grant claims

• Supporting the Finance Manager in the financial evaluation of Trust projects and help Project Managers/ Sponsors understand current levels of expenditure and funding.

• Supporting properties with ad hoc cash handling queries relating to the Electronic Point of Sale system

• Supporting the Finance Manager in ensuring that appropriate internal controls exist at properties

• An ability to travel throughout Scotland in order to assist with the training of property staff on finance related systems and procedures

• Raising sales invoices to customers using the Trust finance system

• Processing ad hoc and recurring monthly journal entries

• Liaising with suppliers of goods/ services to the Trust and individuals who may have contracted services from the Trust (e.g. corporate/ personal hire of property for functions)

• Undertaking general administrative duties such as photocopying, collating, distributing and filing

• Ensure that financial record-keeping meets the Trust’s legal obligations, and it’s own procedures

Key Performance Indicators

• Support the Finance Manager to ensure the delivery of revenue and capital budgets in accordance with budget timetable

• Completion of month end tasks in accordance with the month end timetable

• Compliance with all internal controls within the group

• Sound, consistent personal organisation and effective time management

• Ability to work relatively independently with minimal supervision

• Ability to work effectively and participate fully within a team environment

• Ability to provide accurate, relevant responses to both the finance team and external parties

• Manipulation and presentation of financial data to suit needs of varying recipients

The current duties of this job require a criminal records (Disclosure Scotland) check to be carried out.

SCOPE OF ROLE

Technical Knowledge

As a minimum, the post holder will hold good standard grade passes in Mathematics and English.

The post holder will be expected to adapt quickly to using the Trusts financial systems, including Pro-actis and Sun Financial Ledgers.

People Management

Whilst the role does not involve specific line management of others, as support and guidance is core to the duties of this role, the post-holder must be confident in dealing with, and influencing, colleagues at all levels within the organisation.

The post holder will be required to liaise and interact with both external suppliers and customers of organisations.

Financial Management

Whilst the post holder will have no direct financial management, he/ she will work closely with the Finance Manager in monitoring the Groups financial compliance and in agreeing remedial action to address slippage.

SKILLS, EXPERIENCE & KNOWLEDGE

The key skills, experience and knowledge the job holder will need to possess and exercise are as follows:

Essential

• Strong numerical and analytical skills, with the ability to manipulate financial data with confidence.

• Understanding of debits and credits within a trial balance and have a basic knowledge of VAT

• Must have excellent oral and written skills in communicating the Finance message to both financial and non-financially minded people.

• Understanding of the Trust’s conservation work and the ability to marry its primary conservation objectives with financial and commercial initiatives is imperative.

• Must be self-motivated, with a proactive approach to work, the ability to take initiative and identify opportunities, to accept challenges and responsibility, and initiate and implement change.

• Ability to manage time efficiently and effectively in an environment of changing priorities.

• Must have the ability to ensure financial duties are carried out in accordance with processes and procedures

• Ability to work to strict deadlines.

• A desire for accuracy in all duties undertaken.

• Initiative in resolving or escalating areas or items of concern.

• Consult effectively with others and undertake a “can do” approach to problem-solving.

• Must be a team player, with a willingness to seek advice and guidance with a consultative approach to problem solving.

• Must be proficient in use of IT packages, including intermediately level word and excel. Must also have the ability to assist others in using Information Systems and technologies.

• A clean driving licence valid for use within the UK.

Desirable

• Will preferably hold an HNC (or equivalent) level qualification in Finance, Business or Accountancy.

• Previous experience within the finance department of a heritage and/ or charitable sector.
