This document is intended to provide guidance to teachers and administrators on grading assignments, completing interim reports, entering fourth quarter grades, the role of final exams and End-Of-Course examinations for secondary teachers, determination of final grades, and determination of promotion or retention.

Grading: General Guidance

? Grades on assignments recorded in the teacher's gradebook drive the calculation of the course average in grades 3-12.

? Teachers can override the calculated grade prior to interim reports and/or final quarter grades to more properly reflect the student's progress.

? Overriding the calculated grade in Pinnacle MUST ALWAYS RESULT IN A HIGHER GRADE ? Grading should reward effort and be generous. Competency and effort are to be considered

related and considered when grading individual assignments and cumulative letter grades. ? Teachers should try to have fewer, more engaging assignments than might be found under

regular conditions. On average, 2-3 quality assignments per week, per subject/content area is recommended. ? Students benefit from feedback on assignments. It is considered better pedagogy to give fewer assignments with more feedback than to have more assignments with less feedback. ? The preferred gradebook for assignments is Canvas. Teachers select which of these assignments get published to Pinnacle. ? At least three grades should be recorded in the Pinnacle gradebook by Friday, May 1. ? Further guidance on grading is contained in the 4th Quarter Grade section below

? Parents are not to expect that the gradebook will be up-to-date on any given day. Teachers have a reasonable period of time to grade assignments and post in Canvas/Pinnacle.

? Parents are to be directed to pay attention to the Interim Report.

Interim Reports: General

? Due from teachers by Friday, May 1, 2020

The School Board of Broward County, Florida

? Focus should be on students that are 1) not engaging, 2) engaging poorly, or 3) not submitting work. While every student should be receiving regular feedback from their classroom teacher, it is not expected that students progressing will receive an interim report.

? Students not yet engaged (~1.5%) will receive an Interim Letter, generated by the District, addressing non-engagement in SSO/Canvas.

? Interim reports for grades K-2 and 3-5 are entered into Pinnacle as qualitive reports using check boxes. For these grade levels, teachers should complete interim reports for students with whom the teacher has a concern about their 4th quarter or overall progress.

? At the Elementary Level, Principals will review Interim Reports from teachers prior to close of business on Friday, May 1, 2020. Administration should facilitate conversations with the teacher, Collaborative Problem-Solving Team (CPST), counselor, and other appropriate personnel to gather additional information to decide if an Interim Report should be issued for each student.

? Elementary Specials Teachers should not complete Interim Reports. They should collaborate with the classroom teacher on any concerns for Quarter 4 Interims.

? Parents are to be directed to contact the administration to discuss Interim Reports

Grade K-2 Interim Reports ? Standard process of authentic feedback with the following adjustments

? If the student is poorly engaged, or not submitting work in Quarter 4 THEN: o Teacher must indicate "NOT MEETING CRITERIA FOR PROMOTION"

? If the student is engaged in Quarter 4 and is at risk of not being promoted based on progress throughout the school year THEN: o Teacher should check "STUDENT IS WORKING BELOW GRADE LEVEL" for ELA and/or Math o Teacher should check "NOT MEETING CRITERIA FOR PROMOTION"

Grade 3-5 Interim Reports ? Standard process of authentic feedback with the following adjustments

? If the student is poorly engaged, or not submitting work, in Quarter 4 THEN: o Teacher must indicate "NOT MEETING CRITERIA FOR PROMOTION"

? If the student is engaged in Quarter 4 and is at risk of not being promoted based on progress throughout the school year THEN: o Teacher should check "STUDENT IS WORKING BELOW GRADE LEVEL" for ELA and/or Math as appropriate o Teacher should check "NOT MEETING CRITERIA FOR PROMOTION"

Grade 6-12 Interim Reports ? Interim reports for grades 6-12 are the course averages in Pinnacle converted to letter grades -

unless overridden by teacher.

? To assess engagement and translate it to a numerical value for grade averaging purposes, the following grade correlation scale will help you determine how to factor engagement for the betterment of the student. The SUGGESTED scale is:

A = Student is engaged, attempting work and generally displaying proficiency B = Student is mostly engaged, attempting most assignments, and displaying proficiency

on some assignments C = Student is somewhat engaged, attempting most assignments and displaying

proficiency on some assignments D = Student is somewhat engaged and attempting few to no assignments

? Please remember when using this scale, the grade should always increase.

? The grading scale is not meant to replace Pinnacle grades.

Example: John has a "C" average in Pinnacle. He submitted 3 out of 5 assignments but has been engaged in every class session and attempted most work. An average of his Pinnacle grade and the engagement scale above would result in a "B" for Quarter 4.

? For grades 3-12, where the report card grade is calculated from the Pinnacle average, overriding the calculated grade in Pinnacle MUST ALWAYS RESULT IN A HIGHER GRADE for the student.

4th Quarter Grades: Grades K-12

? Fourth quarter grades are due to be finalized in Pinnacle on or before June 3.

? Fourth Quarter Grades/Report Cards should be coordinated in messaging with ESE Progress Reports.

? The gradebook for a grade level (Elementary) or course (Secondary) should have no fewer than nine (9) grades.

? At the Elementary Level, Administration should facilitate conversations with the teacher, Collaborative Problem-Solving Team (CPST), counselor, and other appropriate personnel to discuss any progress students made who received Quarter 4 Interim Reports.

? Please remember that letter grades are determined by the numeric average in Pinnacle, unless overridden by teacher. Overriding the calculated grade MUST ALWAYS RESULT IN A HIGHER GRADE for the student.

? In order to have students and parents understand what has been measured during distance learning, the following grade correlation scale will again help you determine how to factor engagement for the betterment of the student. The SUGGESTED scale is:

K-2 1 = Student is mostly engaged, attempting all/most assignments, and generally displaying proficiency 2 = Student is somewhat engaged, attempting most assignments and displaying proficiency on some assignments 3 = Student is somewhat engaged and attempting few to no assignments

3-12 A = Student is engaged, attempting work and generally displaying proficiency B = Student is mostly engaged, attempting most assignments, and displaying proficiency

on some assignments C = Student is somewhat engaged, attempting most assignments and displaying

proficiency on some assignments D = Student is somewhat engaged and attempting few to no assignments

? Please remember when using these scales, the grade should always increase.

? The grading scale is meant to provide guidance in ensuring the letter grade determined by the Pinnacle gradebook calculation is qualitative reflective of teacher's professional judgment of each student's engagement and progress during the period of distance learning.

Final Exams for non-EOC courses (6-12)

? The waiver of final exams has been done by BCPS administration. A mark substitution process

for the final exam has been developed.

? The substitute mark for the final exam grade will be the higher of the 3rd or 4th Quarter Grade.

? Mark substitution will occur with no need for work by the classroom teacher or school staff.

Final Exams for End-Of-Course (EOC) Courses (6-12)

? The EOC has been waived by the State. The mark substitution process for the EOC has been developed.

? Mark substitution will occur with no need for work by the classroom teacher or school staff.

? IF the student earns a grade of "A", "B", or "C" in quarter 4, THEN o The mark substitution for the EOC will be the highest of the grades from Quarters 1-4;

? IF the student earns a grade of "D" in quarter 4, THEN o The grade for the EOC is the highest of the grades from Quarters 3 or 4

? The EOC substitution mark will be 30% of final course grade.

Final Grades

? Final grades for secondary (grades 6-12) courses are calculated from quarter grades, mid-terms, and final exams/EOCs.

? Final grades are calculated by the appropriate formula described in SBBC Policy 6000.1

? Final grade calculation requires no teacher or school staff work.

Final Report Cards

? The issuance of final report cards is anticipated no later than Wednesday, June 10, 2020 via Virtual Counselor.

Promotion

? Promotion is based on teacher recommendation.

? Parent notification now needed per State suggestion with possibility of parent request for reconsideration.

? Principal determination of promotion is final.

? For the Spring of 2020 the coding of TERMS is to promote students by default for K - 7th to 1st 8th grades. The retention process is addressed below.

? Careful consideration for promotion from 8th to 9th grade is appropriate because commencement of 9th grade initiates the Graduation Cohort year for the student. The Graduation Cohort year is a value that locks the student into State graduation requirements

? Promotion and graduation for grades 9-12 is by course credits per in SBBC Policy 6000.1

Retention

? For students to be retained, the teacher SHOULD have indicated "NOT MEETING CRITERIA FOR PROMOTION" on Interim Report AND Quarter 4 Report Card

? Retention decisions are based on teacher recommendation from professional judgement based on available data throughout the school year.

? Parent consultation in decision, and notification of recommendation, is required.

? Principal determination of retention status is final for the report card. Appeals for review of such a decision to the Cadre Director will be heard after the report cards are issued.

? Each school's list of student retentions, by student number, is due from the principal to Office of Informational Technology (OIT) by Friday, June 5, 2020.
