HR Quick Reference Guide ? Internal Department Promotion

An Internal Department Promotion occurs when an employee who has demonstrated increased skill level, knowledge and experience is approved to be offered and accepts a new and different position with increased duties and responsibilities that may have greater authority. The employee must not presently perform the duties and responsibilities of the new position.

Request packets are to include the following: ? Justification memo from supervisor explaining employee's potential for increased responsibility, additoinal span of control (supervision), budgetary responsibility, etc. ? Current (signed) job description and proposed job description with assigned effort (%) for each accountability. Proposed job description to be signed by supervisor and should not be signed by the employee ? Current and proposed organizational charts (both) ? Current copy of the employee's resume ? Completed performance evaluation for most recent review cycle ? Confirmation of support from supervisor "one level up" via approval signature on justification memo

Considerations

Request packets should not be completed or submitted to KSOM Human Resources until a discovery phone call is conducted and Compensation confirms an internal promotion is warranted.

Eligible employees must be in his/her current position for at least one year.

Justification to include why employee's knowledge, experience and skill levels are unique such that no other internal or external candidates would be considered.

Do not advise the employee until written confirmation from Compensation is received approving the proposed internal promotion. Specific instructions will be provided as part of the confirmation notice and communicated to the supervisory by KSOM Human Resources.

Subsequent to approval, the department may consider an equity pay increase for the promoted employee. Pay increases are not guaranteed, however, a wage or salary increase is a fair response to an internal promotion.

Pay increase proposals must meet Equity Pay Adjustment requirements per the Staff Wage and Salary Guidelines.
