POSITION TITLE: MEDICAL STAFF OFFICE MANAGER

DEPARTMENT: MEDICAL STAFF ADMINISTRATION

Reporting to the Chief Medical Officer, the Medical Staff Office Manager is assigned the responsibility of directing/coordinating all medical staff activities and act as liaison

between Medical Staff and Administration. Primary responsibilities:

To assure high quality of patient care by:

• Directing and coordinating all medical staff credentialing/re-credentialing activities in accordance with JCAHO Standards on Credentialing and the Board of Registration in Medicine PCA Regulations.

• Directing and coordinating the Continuing Medical Education Program in accordance with the Essentials and Guidelines of the Massachusetts Medical Society maintaining 4-Year Accreditation.

• Maintain current knowledge of latest recommendations from Joint Commission on Accreditation of Healthcare Organizations and the Massachusetts Board of Registration in Medicine.

• Possess a working knowledge of the Medical Staff Bylaws, Rules & Regulations, and department rules and regulations and notifies the medical staff of any changes thereof.

• Maintain close relationships with President of Medical Staff, officers, department and committee chairmen to ensure expeditious follow-through in committee actions, changes in policies, and for the enhancement of total medical staff function.

• Supervise medical staff assistants and volunteers.

• Plans, organizes, and directs a comprehensive program in credential verification for new applicants and reappointments through the Medical Staff Office.

• Plans, organizes, and directs a comprehensive program for Continuing Medical Education through the Medical Staff Office.

• Plans annually for the scope of medical staff activities, including preparing new committees with the President of Medical Staff.

• Prepares and maintains departmental budget within annual budgets.

• Propose bylaws amendments for committee approval.

• Attends Medical Staff Executive Committee monthly, Credentials & Ethics Committee, and Active Medical Staff Meetings.

• Coordinates with the CEO and/or Director of Performance Improvement on setting up and preparing for Joint Commission and other surveys.

• Coordinate Hospital Disaster Plan with Disaster Committee chairpersons.

• Develop written goals and objectives for the Medical Staff Office.

• Establish and implement policies and procedures for the Medical Staff Office.

• Direct and supervise all medical staff office employees, complete annual performance evaluations.

• Trains new medical staff office personnel in the policies and procedures of the medical staff office.

• Participate in professional organizations as are applicable to job description.

• Keep administration, President of the Medical Staff, and department chairpersons informed of special problems within their areas.

• Maintain current master copy of bylaws, rules and regulations.

• Organize and coordinate new doctor Orientation Program.

• Performs other duties as assigned.

QUALIFICATIONS

• Skills in office management, extensive computer background, familiarity with medical terminology, and a minimum of five years experience in a hospital medical staff office.

• Attainment of CPMSM and CPCS certification credential. Attendance at educational seminars/programs to maintain CPMSM/CPCS credential. Experience in program management and administration; or any equivalent.
