I. Introduction

The webIT 3( product is a web-based viewer for the OptiDoc( imaging system. This component of the OptiDoc( imaging system provides users with the ability to search for and to view images stored on the system using Microsoft Internet Explorer or Netscape browsers over the web. The webIT 3( product has an advantage over the OptiDoc( workstation client in that it allows a single user to log into and search multiple databases from anywhere via the web. To access images in webIT 3( the user must be a user of OptiDoc(. A webIT 3( user is then granted access to each imaging system using an ODBC data source that is setup on the IIS server. A key system component is a CGI that accesses image files from the database and reformats those image files into standard G4 TIFF files. Image files on the user system are examined by the CGI, to determine if JBIG or other web incompatible compression algorithm has been used, and recompresses those image files into standard multi page or single page G4 TIFF images. The CGI also converts COLD documents to G4 TIFF images. The G4 TIFF images are then rendered into the browser using a JAVA applet that directly accesses the TIFF data over an HTML pipe. This means that sensitive TIFF image files never reside on the browser.

5 Login

1. Double click on the webIT 3( shortcut icon on desktop or open a web browser and type in the URL to webIT 3(.

2. Enter a database user.

3. Click the Sign In button.

NOTE: The user ID is encrypted and appears as small dots inside of the edit field instead of the actual characters. This user must be a user of OptiDoc(. If the user is not member a message will display stating the user has not been setup in OptiDoc( and cannot login.

4. Choose a database from the Database login dropdown menu. If you do not know which database to choose then you must contact your system administrator

5. Enter a password for the database user then click the “Login” button.

NOTE: This password is encrypted and appears as small dots inside of the edit field instead of the actual characters. This functionality is standard, and is put in place so that other people cannot easily read your user name and password from the screen.

6 Log Out

1. Click on “Sign Out”.

2. Click the X in the upper right hand corner or going to File ( Close.

Search

8 Search for Documents

1. Specify a collection by selection a collection from the drop down menu. Please note that this list will only contain the collections that have been assigned to the user by the OptiDoc( administrator.

2. Specify the view by selecting a view from the drop down list. Please note that this list will only contain the views that have been assigned to the user by the OptiDoc( administrator.

Note: You can change the Database or Collection or View at any time before clicking the Search button.

4. Select the OptiDoc Index field from the drop down list to search by.

5. The Search field relationship field allows you to refine your search with one of the statements.

6. Enter the search criteria you would like to find.

• For example, if you know the exact name of the “Test Name” index field in Search field 1, enter it and ONLY that entry will be returned. However, you may also expand the search by using a “%” as a WILD CARD. This is particularly helpful when you only know part of the entry field, or wish to return all entries in a Collection.

7. Click the Search button.

B. Refined Search

1. If you would like to refine your search by looking for two search criteria to narrow down the results you can click the blue arrow. This will create additional search options. Once you have entered the search criteria, click the “Search” button.

2. The results of your search will appear in the next screen as a listing of all the records meeting your search criteria.

9 Reference Tables

1. If the OptiDoc Index field has a reference table associated with it, a drop list will be displayed to select a value.

2. Select the value and then click Search.

View Records

1. The total number of hits will be displayed on the results screen.

2. You can navigate between the results screens by clicking the Previous and Next buttons.

• Also you navigate back to the previous page by clicking the Back button in your web browser.

View a Single Record

1. Select the desired record you want to view by clicking in the check box in the column under the View button.

2. Next click the View button.

View Multiple Records

1. Select all of the desired records you want to view by clicking in the check boxes in the column under the View button.

2. Next click the View button.

The document image will be displayed in the Acordex viewer. If you select multiple records to view, each individual record will be in a separate Acordex viewer.

A. Installation of Acordex Viewer

IMPORTANT NOTE: The first time you use webIT 3(, you will see the screen asking if you want to install and run the Acordex viewer.

1. You MUST Select “Always trust content from Acordex Imaging Systems”.

2. Click “YES”. DO NOT SELECT “NO.”

• If you select “No,” you will not be able to view the record that you have selected because you have not authorized the use of webIT 3(’s Acordex Viewer. Installation of the Acordex viewer is a one-time requirement to allow you to view your records.

• Now that you have the document image displayed, you have a wide selection of tools/buttons to control how you view and manipulate the image.

B. Editing Annotations

1. Click the Edit Annotations button on the Acordex Viewer Toolbar (If the user does not have rights to edit annotations, this button will not appear).

2. When the Annotations screen appears, choose the appropriate annotation for the document. There are six tools to choose from.

a. Line Tool

b. HighLite Rectangle Tool

c. Text Note Tool

f. Typed Text Tool

Along with the annotation tools, there are four additional options to choose from.

a. Line Width

b. Font

c. Hide Annotations

d. Opaque

3. When the appropriate tool has been chosen, click and drag over the document in the area where the annotation will be viewed. In the example below, the Text Note Tool is being used.

4. If you choose to redact a certain part of a document, there are two steps to follow. First, choose the HighLite Rectangle Tool. Then click on the Opaque check box. This will cause the rectangle to be a redaction instead of a highlight.

If the Opaque check box is left unchecked, then the tool will be used as a highlight tool.

C. Re-Installation of Acordex Viewer

Important! If you inadvertently selected “No”, you must reinstall the webIT 3( Acordex viewer.

5. First you must remove the viewer shell, by going into Internet Explorer and selecting Tools, Internet Tools.

6. Go to the Content Tab, select Publishers in the Certificate panel, highlight Acordex Imaging Systems and select Remove.

7. Now you are ready to reinstall the Acordex Viewer. ANSWER “YES” in order to use webIT 3(.

Printing Documents

Print a Single Document

2. Select the desired record you want to view by clicking in the check box in the column under the Print button.

3. Click the Print button.

Print Multiple Documents

1. Select all of the desired records you want to view by clicking in the check boxes in the column under the Print button.

2. Click the Print button.

3. Select a printer and the number of copies, and click OK.

1. To print the document from the document viewer, click the Printer icon. The Print Dialogue box will open. Click OK.

2. Select a printer and the number of copies, and click OK.

COLD Reports

4. Enter the search criteria from the OptiDoc( database and collection.

5. In the results screen, click the Report button next to the COLD report you would like to view.

NOTE: You can only view one COLD report at a time.

6. The COLD report will be displayed on a new screen in your Internet browser.

8. You can navigate between the pages of the COLD report by clicking the Previous and Next buttons. You can navigate back to the previous page by clicking the Back button in your web browser.

9. Enter the search criteria you would like to find, and hit Enter.

10. You can navigate between the results screens by clicking the Prev Word and Next Word buttons. You can navigate back to the previous page by clicking the Back button in your web browser.

Note: You CAN NOT use a Wild Card when doing a text search.

11. All of the search results text will be red.

12. You can either put in new search criteria or click the New Search button to begin a search.
