I. Background and Business Opportunity

Worldspan relies on Hotel Associates to maintain accurate rates, rate rules and availability in the Hotel Select database. Due to emerging trends toward yield management, property controlled rate policies and other complex rate programs, availability and rates often change throughout the day. The hotel list entry displays rates when the /RR option is used (and availability when the /A option is used) based on information stored in Hotel Select. As a result, the rates and availability stored in the hotelier reservation system often do not match the rates and availability shown in the Worldspan Hotel Select system. These inaccuracies frustrate the subscriber.

This Integrated SOURCE availability and rate range products provide interactive availability status information from the hotel supplier reservation system to Worldspan.

The goal is to move from the current environment of accessing the availability and rates solely from Hotel Select to the process similar to seamless availability in AIRLINE SOURCE. The result will be an ‘integrated hotel source availability status’ display for the user when a Hotel List entry is made.

The benefits are a viable product, increased bookings and revenue, system integrity and improved product perception. Integrated hotel source availability (and rate ranges) will simplify the shopping and booking process and increase subscriber productivity.

II. Integrated Availability

Procedurally, agents are encouraged to begin the search for a hotel using the Hotel List (HL). The hotel list displays a list of hotel properties regardless of availability by the user specifying in an input entry: city code, airport code, or a reference point.

If the agent includes the /A option in the list entry (HL with /A option), only those hotels that have availability for certain rate plans and a sampling of lowest available rate amounts will be included in the Hotel List.

However, if the /A option is NOT included in the Hotel List entry, availability is NOT checked and this can lead to frustration for the agents when they attempt to retrieve availability and the Hotel SOURCE response is CLOSED out. This reduces overall confidence in the hotel product, may result in a negative perception of the hotel company and encourages the agent to resort to other methods of obtaining a hotel reservation.

A. Assumptions and Dependencies

Associates must be a Worldspan SOURCE participant (includes type A sells, modifies and availability) in order to use the Integrated Availability status product.

Associates must be able to support Worldspan AccessPLUS/SOURCE response time maximum of 20-25 seconds. This means that the greatest percentage of responses will be successfully returned to Worldspan within this time frame.

Associates will continue to maintain a database in Worldspan Hotel Select.

Integrated availability status will not be applicable when a list entry includes the /A option. Hotel Select availability is automatically invoked when a /A option is part of the list entry.

Associates will be allowed to view other associates integrated availability (i.e. belonging to any chain code).

Hotel Associates must be able to search their reservation system for rate plans that are specified in the Integrated Availability message.

B. Details

Worldspan will obtain the availability status directly from the hotel associate system in order to provide ‘true availability’, prior to showing the property on the screen of the hotel list display.

1. Minimal requirements to obtain an integrated availability

When a hotel list entry is made (HL) with the minimal requirements : date and number of persons the agent will automatically obtain an integrated availability display.

2. How Worldspan will select the properties for the list display

Optional fields which are valid in an HL entry today, will continue to be valid. However, there are differences in how these are applied for non-participants in integrated vs. participants:

a) Worldspan may use some of those optional fields in the property selection (examples are Bed Type, Frequent Guest). This will continue for non-participants in integrated availability.

b) For the participants in the integrated availability, optional hotel list fields which may also be applicable to sell or availability will be ‘held’ and applied to subsequent availability or sell (other than those listed in these specifications).

Behind the scenes, Worldspan will compile the list of hotels to be displayed on the first screen. With this implementation, Worldspan will ‘burst’ a new interactive (type A) message to the Integrated Hotel Source Availability participants that are part of each screen build. The associate will respond to Worldspan with an indicator denoting the property availability status.

Upon receipt of the type A response from the participating hotel associate, Worldspan will populate the availability status column based on the indicator sent to Worldspan.

The participating hotels will be ‘integrated’ with the non-participating hotels in the list display. No indicator will appear in the status column for associates not participating in the integrated availability product.

Based on the availability status in the associate system, an indicator will be returned to Worldspan for one of the following conditions:

C. Type A Messages to request and obtain availability status indicator

Worldspan will internally determine which properties will appear on the first screen when a list entry is made by an agent. Before the screen is displayed, a message will be sent to all integrated participants involved in that screen, with the property ID and all pertinent information so the associate can respond with an availability indicator. For example, if Worldspan determines that the first screen of the list display will involve eight different hotel associates, eight individual messages will be sent from Worldspan requesting status from each company.

This process will be repeated for subsequent ‘move down’ entries in the list display (HLD), but will not be repeated for other list manipulation entries (HL*, HLU or HLT – these entries are redisplays of information already gathered).

a. The /ACT field will be sent with a 2 character identifier for Integrated Availability ‘LI’.

Note: A request from Worldspan for rate plan ‘X’ will never be accompanied by another rate plan.

Associate elects for Worldspan to check Hotel Select for /P-

At the request of the associate, Worldspan can check the Hotel Select system to verify if there is at least one rate loaded for any of the rate plans specified. If that is the case, all the rate plans entered will be sent to the associate. If there is no rate loaded for any of the rate plans specified, those properties will not be included in the list display.

If certain chains are specified in the entry and they do not have at least one rate loaded for any of the rate plans entered in the /P-, the response will be:

Associate elects for Worldspan NOT to check Hotel Select for /P-

If the associate opts NOT to have Worldspan check the Hotel Select system, Worldspan will expect the associate to search on the plan codes and respond with an availability indicator based on what has been specified.

e. Plan codes will be placed in the /PC1, /PC2 etc. up to a maximum of 8 occurrences. The /PC fields in the request message will be sent in the order in which they were input. A plan code(s) for which the booking agent is not ‘valid’ will still occupy a place in the request message, e.g. three plan codes are input but the agent does not qualify for the 2nd plan code. The 1st and 3rd plan codes input will be sent in the request message: /PC1 and /PC3. (same as SOURCE specifications today). If the plan code(s) requested are not available, but something is available, the associate should return an ‘O’ indicator for Other.

Note: The plan code field cannot be combined with ‘X’ rate plan.

Hotel Associates, participating in Integrated Hotel Source Availability, may elect for Worldspan to check or not to check security when a /PC- is entered in a Hotel List request.

Worldspan will use the following guidelines when gathering properties for an Integrated Hotel Source Availability display.

Associate elects for Worldspan to check Hotel Select security (/PC-)

If an agent inputs a /PC- in conjunction with a /C- and the agent is not found in either the Master or the Hotel Associate RAST, Worldspan will not send the plan codes specified in the /PC-. And in this case, if the associate returns an ‘A’ Worldspan will change it to an ‘O’.

If an agent inputs a /PC- in the availability request, and the agent SID or IATA is resident in either the Master or Hotel Associate RAST , those chain(s) will be required to respond with the appropriate availability indicator based on the request.

Associate elects for Worldspan NOT to check Hotel Select security (/PC-)

If the hotel associate prefers that Worldspan NOT check security, there will be no validation in either the Master RAST or the Hotel Associate RAST prior to sending out an integrated availablity request with plan codes.

Worldspan will continue to check security at the time a Source availability request is made from the Hotel List display.

f. Corporate IDs associated to the plan codes will be sent in the corresponding /CD1, /CD2 etc. up to a maximum of 8 occurrences. In other words, /PC1 can have an associated CD number which would be sent in the /CD1 field. e.g. five plan codes are input but the user does not qualify for the 2nd plan code or there is no corporate ID for the 2nd plan code. The corporate IDs associated to the 1st, 3rd, 4th and 5th plan codes input will be sent in the /CD1, /CD3, /CD4 and /CD5 fields of the request message. (same as SOURCE specifications today)

a. Indicated required fields are to be sent to Worldspan for a "good" response (/RSPLISVER). A /AVI should be present for each /PID in the response if the /RSP field is returned with /RSPLISVER. If a response is returned with a /PID that is missing an accompanying /AVI, and multiple properties are in the message, the /PIDs which have a /AVI and valid indicator WILL be processed as integrated Source participants. Those properties that do not, will appear in the list display, but will not reflect a status indicator.

b. An error (/RSPLISERR in combination with error number /ERNU02) may be returned in the event that the associate is unable to respond appropriately to Worldspan request. This would be sent when the communications links are ‘up’ and functional, but the application is unable to process the request for some reason. If the communication link is ‘down’, a timeout will occur at Worldspan. The result will be the same in either event for the user. The hotels that were sent in the request which the associate was unable to respond to, will appear in the list, however no status code will be displayed. Error responses (/RSPLISERR) require only /ERN and an error number following the response type. Worldspan will log a response with U02 as an ‘unrecognizable’ which will increment the online timeout bucket statistics for integrated availability as well as the daily AccessPLUS Unrecognizable Report (and subsequently will be reflected in the monthly AccessPLUS statistics as well).

c. Recurring field. May occur a maximum of 8 times in a response. The properties do not have to be

echoed back to Worldspan in the order in which they were sent, however the /AVI immediately

following each /PID will be the status indicator for that property.

d. The format for the effective date may be dmmm or ddmmm

e. A /AVI must be present for each /PID in the response if the /RSP field is returned with /RSPLISVER. If a /PID does not have an accompanying /AVI, the indicator is not valid or it is blank, or the /AVI has an ‘E’ for error it will appear in the list display, but will not reflect a status indicator. If multiple properties are in the same response, the /PIDs which have a /AVI and an ‘A’, ‘O’ (not valid for NET rates or /LVLX), ‘R’ or ‘C’ indicator WILL be processed as integrated Source participants and will reflect an availability status code in the hotel list display. Also, the /RSPLISVER should be returned for properties with the /AVIE condition.

An integrated availability status response will not be processed when:

it is not received from the associate within the designated length of time -- currently 20-25 seconds

(considered a 'time-out')

if any field returned from the associate does not match the same fields sent in the request message

if a field returned from the associate contains invalid data or format.

2. Type A message from Associate to WORLDSPAN

a. Indicated required fields are for "good" response (/RSPINTVER). “Error" response (/RSPINTERR) will not be permitted in Integrated Availability responses.. No /ERN or /ERT fields may be returned.

b. All the information before the response type (/RSP) needs to be echoed back to WORLDSPAN from the integrated availability request.

The format for the effective date may be dmmm or ddmmm

A /AVI must be present for each /PID in the response. The /AVI immediately following the /PID will be the availability indicator shown in the list display for that property.

If a /PID does not have an accompanying /AVI, or the indicator is not valid the entire response will be rejected as an unrecognizable. WORLDSPAN will default to Hotel Select when a property (or /PID) has an /AVIE immediately following it (only those properties will be affected).

If the user has specified a rate plan, and there are no available rates based on the request, if any rate plan is available at the property, the associate should return the ‘O’ indicator. This will provide the information to the user that an alternate rate plan is available. If the user is interested in researching what is available, the next step would be to request a Source Availability.

An integrated availability response will not be processed when:

it is not received from the associate within the designated length of time -- currently 20-25 seconds (considered a 'timeout')

if any fields returned from the associate do not match the same fields sent in the request message

if a field returned from the associate contains invalid data or format

D. Integrated Availability Status Display

A new column will be added to the list display in the 5th position from the left margin of the display to the screen. This column will be populated with the indicator which is sent for each property in the integrated availability status response(s).

Hotel Located in Different Country Indicator (@ -) internal to Worldspan)

The @ indicator which is indicative that the hotel is located in a country other than the one requested or implied in the list entry (e.g. reference point) will be moved to a new position in the list display. It will appear in position 34 if applicable. The @ symbol currently appears where the new integrated availability status indicator will be shown and will be displaced.

Integrated Hotel Source Availability Status Displays

Worldspan will compile the list of hotels for the first screen (which may be less than 8) and send a type A request to each hotel associate participating in integrated availability. When the type A response is received, the hotel list display will be built and displayed on the screen. A subsequent entry to see more hotels will cause another type A message to be sent out, and the process will begin all over again.

Integrated status indicators will need to be ‘saved’ for a redisplay entry.

Subsequent entries such as:

The Hotel List display will vary based on the settings in the agent Hotel Default Record. In this example that follows the Hotel Default Record settings are the default settings. In other words, the hotel default record below has never been modified.

4. If an entry is made to see more hotels in the list (HLD), the subsequent screens may have up to a maximum of 11 lines of hotels. If eight or an excess of 8 of the 11 on the subsequent screen belong to one associate, Worldspan will only send 8 in one transmission. The next 1-3 hotels will be sent in a separate transmission(s) to the associate(s). The screen of 11 hotels will not be displayed until the responses for all 11 hotels have been received.

III. Integrated Availability with Rate Ranges

In addition to the availability indicator, hotel suppliers may also send Worldspan the lowest and the highest rate applicable to the request. More details about this follow.

A. Assumptions and Dependencies

Rate ranges will be obtained by the user when the hotel list entry includes dates, number of persons and the optional field /RR.

Current processing to display rates in the currency of the agent AAA will remain in effect with this product just as it does with Source availability.

Effective with this implementation when the rate range field (/RR or /RR-) is ‘on’ in the hotel default record or included in a list entry, Worldspan will not automatically default to Hotel Select for all rate ranges. (Non-participants in integrated rate range will reflect rate range amounts from Hotel Select and there will be some instances in which the rate range will be from Hotel Select for integrated participants (i.e. link down or not responding)

Procedurally, associates will be asked NOT to return a rate for which the user is not entitled. In other words, to use the same qualifying parameters used for SOURCE for IHSA rate range.

If an associate returns a ‘C’ or closed availability status the rate range may still be reflected based on what has been specified in the request. Obviously, the rate range won’t be based on the lowest and highest rate available, but it was decided in the requirements gathering session, that this might be helpful to the user. The dates could be adjusted in order to find availability at the hotel based on the desirable rate range.

If an associate returns an ‘O’ or other than what was specified in the IHSA request the rate range that is returned to Worldspan should be based on what is applicable to the ‘O’.

If an associate returns an ‘A’ or available status the rate range that is returned should be based on two things:

1. What is specified in the request sent from Worldspan

2. What the user qualifies for based on the contents in the request message

B. Details

Worldspan will provide the hotel associate optional fields in the Integrated Availability response message to send a rate range and currency for each property sent from Worldspan in the request.

C. Type A Messages to request and obtain availability indicator AND rate ranges

The current IHSA messages will remain the same with the possible exception of the new optional field for rate range request. Since the rate range is optional, when the user includes the /RR- in the list entry, Worldspan will only send the /RR- to the associates for whom the field is ‘on’ in the Worldspan vendor control record.

Notes:

An adjustment can be made at Worldspan to send less than 8 occurrences if the associate system performance is adversely affected by receiving and processing up to 8 /PIDs at one time.

c. The number of rooms field /NRM will not be sent in the message unless the user has specified a number in the /N field of the list entry. The associate will always assume one room unless otherwise specified.

d. Up to five 1-character rate plan codes may be sent in the /LVL field of the request message (except for /LVLX for NET rates. NET rates will not be combined with any other rate plans.). The associate will be required to respond with a rate range based on the rate plan(s) specified by the user. If no rate plan(s) are specified in the entry, then the associate may apply whatever search parameters they would normally apply for a Hotel SOURCE response to Worldspan. The reason for this is that the availability status indicator in the list display should be consistent with what the user will see if they ultimately request a specific property availability from the list display. These are the rate plans from which the booking agents can make their selection:

Associate elects for Worldspan to check Hotel Select for /P-

At the request of the associate, Worldspan can check the Hotel Select system to verify if there is at least one rate loaded for any of the rate plans specified. If that is the case, all the rate plans entered will be sent to the associate. If there is no rate loaded for any of the rate plans specified, those properties will not be included in the list display. The exception to this is for rate plan ‘X’ for NET rates which will not be stored in Hotel Select. They may only be returned in an Integrated Source Availability (or Hotel Source Availability for a specific property).

If certain chains are specified in the entry and they do not have at least one rate loaded for any of the rate plans entered in the /P-, the response will be:

Associate elects for Worldspan NOT to check Hotel Select for /P-

If the associate opts NOT to have Worldspan check the Hotel Select system, Worldspan will expect the associate to search on the plan codes and respond with an availability indicator and rate range based on what has been specified.

d. Plan codes will be placed in the /PC1, /PC2 etc. up to a maximum of 8 occurrences. The /PC fields in the request message will be sent in the order in which they were input. A plan code(s) for which the booking agent is not ‘valid’ will still occupy a place in the request message, e.g. three plan codes are input but the agent does not qualify for the 2nd plan code. The 1st and 3rd plan codes input will be sent in the request message: /PC1 and /PC3.

Note: The plan code field cannot be combined with ‘X’ rate plan.

If the plan code(s) requested are not available, but something is available, the associate should return an ‘O’ indicator for Other.

Plan codes will not be requested in combination with /LVLX or NET rates.

Associate elects for Worldspan to check Hotel Select security (/PC-)

If an agent inputs a /PC- in conjunction with a /C- and the agent is not found in either the Master or the Hotel Associate RAST, Worldspan will not send the plan codes specified in the /PC-. And in this case, if the associate returns an ‘A’ with a rate range Worldspan will change it to an ‘O’.

If an agent inputs a /PC- in the availability request, and the agent SID or IATA is resident in either the Master or Hotel Associate RAST , those chain(s) will be required to respond with the appropriate availability indicator and rate range based on the request.

Associate elects for Worldspan NOT to check Hotel Select security (/PC-)

If the hotel associate prefers that Worldspan NOT check security, there will be no validation in either the Master RAST or the Hotel Associate RAST prior to sending out an integrated availablity rate range request with plan codes.

Worldspan will continue to check security at the time a Source availability request is made from the Hotel List display.

f. Corporate IDs associated to the plan codes will be sent in the corresponding /CD1, /CD2 etc. up to a maximum of 8 occurrences. In other words, /PC1 can have an associated CD number which would be sent in the /CD1 field. e.g. five plan codes are input but the user does not qualify for the 2nd plan code or there is no corporate ID for the 2nd plan code. The corporate IDs associated to the 1st, 3rd, 4th and 5th plan codes input will be sent in the /CD1, /CD3, /CD4 and /CD5 fields of the request message.

2. Type A message response from Hotel Supplier to WORLDSPAN

The verification of currency and decimal placement for the rate amounts in this product should be the same as the current edits imposed in a Hotel SOURCE response.

a. Rate data not valid

If an associate sends a response with a /PID with what Worldspan would consider to be invalid rate range data or format, Worldspan will default to Hotel Select for the rate range. Those /PIDs within the same response that have ‘valid’ rate amount data will reflect a rate range. The entire message will not be rejected as an unrecognizable. The /PIDs that reflect a rate range directly from the associate will have a special indicator in the screen display (an asterisk ‘*’ will highlight those rate ranges).

b. No rate ranges returned

Similarly, if Worldspan sends a request for IHSA to the associate and NO RATE RANGES are returned for ANY of the /PIDs, the message will NOT be rejected. If the /AVI field is sent the hotel list will display the availability indicator and no rate ranges.

Notes:

a. Indicated required fields are to be sent to Worldspan for a "good" response (/RSPLISVER). If a response is returned with a /PID that is missing an accompanying required field, and multiple properties are in the message, the /PIDs which have the required fields and valid indicator WILL be processed as integrated Source participants. If a /PID is returned without rate range data but has a /AVI, the property and the availability indicator will be displayed without rate ranges.

b. An error (/RSPLISERR in combination with error number /ERNU02) may be returned in the event that the associate is unable to respond appropriately to WORLDSPAN request. This would be sent when the communications links are ‘up’ and functional, but the application is unable to process the request for some reason. If the communication link is ‘down’, a timeout will occur at WORLDSPAN. The result will be the same in either event for the user. The hotels that were sent in the request which the associate was unable to respond to, will appear in the list, however no status code will be displayed.

Error responses (/RSPLISERR) require only /ERN and an error number following the response type. WORLDSPAN will log a response with U02 as an ‘unrecognizable’ which will increment the online timeout bucket statistics for integrated availability as well as the daily AccessPLUS Unrecognizable Report (and subsequently will be reflected in the monthly AccessPLUS statistics as well).

c. Recurring field. May occur a maximum of 8 times in a response. The properties do not have to be echoed back to WORLDSPAN in the order in which they were sent, however the slash data fields (/AVI, /LOR, /HIR, /ICU) immediately following each /PID will be applied to that property. This number may be reduced from 8 to 5

based on associate system performance.

d. The format for the effective date may be dmmm or ddmmm

e. A /AVI must be present for each /PID in the response if the /RSP field is returned with /RSPLISVER. If a /PID does not have an accompanying /AVI, the indicator is not valid or it is blank, or the /AVI has an ‘E’ for error it will appear in the list display, but will not reflect a status indicator. If multiple properties are in the same response, the /PIDs which have a /AVI and an ‘A’, ‘O’ (Not valid in response to a request for NET rates or /LVLX),’R’ or ‘C’ indicator WILL be processed as integrated Source participants and will reflect an availability status code in the hotel list display. Also, the /RSPLISVER should be returned for properties with the /AVIE condition.

f. Recurring fields. May occur a maximum of 8 times. The number of occurrences for these fields should match the number of /PIDs sent to the associate. For example, if there are 5 /PIDs sent to the associate with a rate range option, there should be 5 occurrences of these fields returned in the response to equal the number of /PIDs sent in the request.

The order of the fields preferred by Worldspan is as indicated (/LOR, /HIR and /ICU; low rate in range, hi rate in range and currency respectively). These fields immediately following each /PID will be the rate range for the preceding property ID (or /PID field).

An integrated availability status response will not be processed when:

it is not received from the associate within the designated length of time -- currently 20-25 seconds

(considered a 'time-out')

if any field returned from the associate does not match the same fields sent in the request message

if a field returned from the associate contains invalid data or format.

D. Screen Display with Rate Ranges

The hotel list display varies with the settings made within the hotel default record. In this example the /RR- reflects ‘N’ which means if the user wants rate ranges, they will need to input it manually in the list entry. If the hotel default record reflects /RR- (Y), it is not necessary for the agent to include /RR in the HL entry.

The /RR- will continue to be a toggle as it is today. So, if the user has a hotel list display on the screen that shows rate ranges, and they make a subsequent entry of HL/RR, the hotel list will be display without rate ranges.

Another subsequent entry of HL/RR will show the list with rate ranges again.

Response time outs

Response ‘time-out’ guidelines and procedure currently used for hotel SOURCE will apply to the integrated list response. The timer is currently set to expire between 20-25 seconds. An adjustable response time may be considered for associates that receive multiple properties in one request. The overall response time for the subscriber should increase minimally. When a time-out occurs or the link is unavailable, there will be no availability status indicator for those properties. Agents will never see *AP LINK UNAVAILABLE directly related to this implementation or any form thereof.
