Business Manager role @ Fancy Freelancers

An online business manager's main goal is to ensure their team completes their daily tasks correctly and on time plus ensure that we're functioning at our company's best. While an online business manager's job duties may vary from one day to the next, there are some tasks you can expect to perform in this position. Some common responsibilities for online business managers include:

Managing projects: Online business managers are often in charge of launching, implementing and overseeing new virtual projects. Examples can include website upgrades, membership portals and marketing initiatives.

Overseeing operations: As an online business manager, overseeing basic business operations may be a critical part of your job. Some of the systems you may manage include invoicing and maintaining client relationships.

Tracking metrics: Online business managers identify which KPIs are the most beneficial to track for specific projects, departments and business areas. This allows them to monitor the company's progress, provide updates to clients and offer suggestions for improvement to senior leaders within the company.

Managing people: As an online business manager, you may also be in charge of managing a team of people to ensure they meet their deadlines. This can involve providing support, allocating resources, conducting performance reviews and monitoring daily activities.

Your Focus:

You'll focus on daily operations of Fancy Freelancers by creating an excellent support system for these entrepreneurs and businesses.

Some of the day-to-day and weekly tasks may include:

- Meeting with clients directly in Google Meet on a weekly or bi-weekly basis. - Providing Friday reports, providing updates, consistently communicating

throughout the week via Slack, Trello Whatsapp and/or email to keep your clients up to date. - Overseeing the clients' daily, weekly or monthly schedules, taking into account time zones, frequent travel, and events. - Working collaboratively and effectively with other team members to support the clients needs. - Self-managing and reporting progress for ongoing projects to clients and team members. - Occasionally handling travel arrangements for your clients and their team members. Managing their business needs. - Helping the clients think ahead of the game -- they're here for your expertise and guidance -- rather than waiting for things to come your way. - Ensuring the Fancy Assistants are completing client tasks on a daily and consistent basis - Ensuring the Fancy Assistants are clocking in in our time tracking system

We offer different support for our clients including, but not limited to:

- Virtual Assistant & Administrative tasks such as: - Managing and organizing email inboxes - Maintaining client files and personal information - Managing a calendar and setting up appointments - Organizing backend folders (such as Google Drive, Dropbox, etc.) - Setting up application and survey forms - Creating Standard Operating Procedure (SOP) documents to outline business

processes - Managing minor financial tasks, such as paying client bills through their tools - Helping clients manage important relationships with their clients, partners, and

team by setting reminders, purchasing gifts, and responding to emails in a warm, professional, and timely manner - Setting up tasks in project management tools (Clickup, Asana, Trello, etc.) - Researching and implementing new business tools

You must be able to:

Manage and follow up on multiple projects and clients. Assist in implementation and management of launches, including funnel creation,

software integration, and strategy, with experience working on five-, six-, and seven-figure launches. Support client onboarding and the entire client journey. Collect and track data and metrics, including implementation of systems to collect data. Create and implement SOPs. Develop, plan, and implement courses with backend build out, including course management setup and integration. Set up, schedule and Implement email marketing campaigns and automations. Update and creating systems to streamline operations Screen, hire and orient all Fancy Contractors

Be able to work with both short term tasks (same day + 24 hour turnaround) and long term tasks. (We do our best to work ahead for ease, and we strive to turnaround items quickly for our clients.)

If you have any experience with social media management, automations, integration, copywriting or content creation and repurposing, that's always a plus!

You're a great match for this position, if you have:

- Several years of experience in administrative support (3+ years) - You MUST have experience working with clients.

Qualifications:

If you have a portfolio, previous testimonials or other types of client feedback, please include that as well.

A talent for anticipating client needs before they're expressed and taking steps to address the need before it becomes a problem

Exceptional written and oral communication skills

A Type-A personality (and you're proud of it)

An ability to remain calm and cool (and thrive!) in a fast-paced environment

A natural inclination to create organizational systems

Sensitivity and respect for confidential matters

A flexible schedule that doesn't abide by a strict 9-5 traditional timeframe

Ability to respond to emails and requests with a sense of urgency

Additional Requirements:

You're available during regular work hours in USA time zones.

You can commit to a 30-40 hours a month minimum with increasing hours that may evolve into a larger client base or more hours.

You enjoy working directly with clients who are looking for acceptable perfection ? yes, mistakes happen, but you always learn from them and they rarely happen again.

Important Note: We're currently looking for someone who can work Monday through Friday between the hours of 9 am - 6 pm CST.

Already working with more than 5 of your own clients outside of Fancy Freelancers?.

Feel like remote work or virtual assistance isn't a long-term love of yours. We want you to grow and expand in our company (and learn new skills) but if this

is a hobby, we may not be for you. Uncomfortable or unwilling to manage clients or work directly on Google Meet

calls. You will have to lead those calls and read between the lines on what your clients need, not wait to be told what to do all the time. Unwilling to take truly constructive criticism or ownership of your work. A beginner who is looking to get trained in different skills. Although we offer some on the job training, we're looking for proactive professionals who make learning part of their job outside of working with us!

Looking to be treated like a corporate employee, micromanaged, or hand held. We're all about proactivity here!
