IOOV TRAINING COORDINATOR CHECKLIST

1. SPACE & EQUIPMENT:

If you haven’t already selected a location for the training, it is recommended that the space have a conference table or meeting tables arranged in a rectangle or square. This is important because the participants need to be able to see each other as the training progresses. The tables will also make it much easier for the participants to do their work.

The room must be large enough to allow presenters to address the group from the front of the room and to still have space for the necessary training equipment (discussed below). In addition, it is helpful if trainees are able to get up and move around.

A VCR or DVD player with a remote control and a TV with a screen large enough for all to see is required.

An easel with a large pad of paper upon which teaching points, summary notes, instructions, etc., can be written during the course of the training is required.

2. TRAINER INFORMATION

Trainers must be paid a $500 training stipend plus gas/mileage for any travel. These payments should be provided to the trainers by the last day of training. To expedite the payment process, have the amount cleared by the office manager/president ahead of time so there is no delay in payment.

Provide a training report form for the trainers to fill out and return to you at the end of the training. The form includes space for the names of the trainers as well as information about the training (date, # of graduates, location, etc.) This form should be returned to you by the trainers at the end of the training and you can then enter the data into the online reporting system. Make sure that the trainers are aware of the training report form and that they are prepared to fill it out.

3. TEACHING MATERIALS:

Make copies of the Presenter Training Manual for each trainee. The manuals are about 80 pgs long and should fit into ½ inch binders.

Order marketing brochures and posters from the NAMI online store. These tools can be used for outreach.

Order audience take-home pamphlets from the online store. These pamphlets should be given out at each IOOV presentation.

Order DVD/VHSs from the online store. Provide each trainee with one at the training; or, stock your NAMI office with them so that presenters can borrow and return them for their presentations

*Only coordinators and trainers have access to the IOOV section of the store. If someone else in your NAMI office usually purchases program materials, please contact the education programs assistant so that they can set the person up with access. To get to the IOOV section of the NAMI store, you will need to log onto with your username and password and then click “NAMI store” on the left side of the screen. Then, just click on the “Brochures” tab for IOOV small brochures and the “IOOV” tab for everything else.

Create certificates of completion for course graduates. Certificates must be signed by the IOOV trainers and can also be signed by the program coordinator.

About twenty-five 3”x5” or 5”x7” index cards will be required for each trainee. In addition please provide some paper and a pen for notes.

Make up name tags and tent cards for each trainee. This is very helpful for everyone (and especially for the trainers, who will be meeting everyone for the first time.

Create countdown cards on large index cards. The cards should read “1 minute,” “30 seconds,” and “Good Job,” and are use by trainers to help participants keep their sections within the time allotted.

3. MISCELLANEOUS:

Send welcome letters at least 1 week prior to the training to let participants know:

▪ training location and directions (including the specific room and how to get in)

▪ dates and times

▪ which meals will be provided

▪ who the trainers will be

▪ any other helpful info (rooms are chilly- bring a sweater, etc)

▪ congratulate them and express enthusiasm for their involvement

Have boxes of tissues strategically placed throughout the room. This is an intense training. There will be tears.

Pass around a “sign-up” sheet at the beginning of the first day on which everyone can record their name, address, telephone number and e-mail address.

It is a very good idea if a lounge or meeting room is available where trainees can meet and socialize the first evening. A lot of very valuable bonding takes place if this is provided.

Please ask all the trainees to bring and wear on the second day of the training the type of clothing or “outfit” that they would anticipate wearing if they were giving an In Our Own Voice Presentation. The rule of thumb is simply “neat and clean”.

4. FOOD & BEVERAGES:

Provide breakfast each morning, preferably something with protein in it.

Provide lunch on both days. The schedule does not allow time to go out for lunch. This usually involves catering of some sort, i.e., sandwiches, pizza, etc.

Dinner should be provided the first night. Since the training ends around five the next evening, it is your decision whether or not to provide a second dinner at that time.

Please provide beverages and snacks throughout both daily sessions. Coffee is staple, but remember that some consumers do not drink coffee and would prefer soda or bottled water. This is important not only because the training day is long, but because some experience the “dry mouth” side affect of medications.

5. COORDINATOR MATERIALS AND WALKTHROUGH:

Make sure that trainees fill out their presenter profiles and training evaluations at the end of the training. You will need to send copies of these to the national office immediately after the training.

Be prepared to tell presenters what to expect from you after the training. They will be anxious to know when their first presentation will be and if there is a practice session scheduled. Follow up after the training is essential!
