POSITION SUMMARY

In reporting to the Senior Compensation Supervisor, this position is responsible for the timely, accurate input and processing of the Board's in-house Payroll, maintaining and providing pension related and legislatively required information and reports. The incumbent will also provide lead payroll support to the Payroll Assistants as well as assist the Senior Compensation Supervisor with administrative and process related responsibilities.

DUTIES AND RESPONSIBILITIES

PAYROLL LEAD

?

Prepare, import and process daily SFE data exchanges (SFE absence import to SDS, HR

to SFE import to SFE).

?

Bi-Weekly SBT process (file preparation, processing and batch creation for Payroll Assistants

?

Verify and authorize timesheet entries for Non-teaching and Teaching Payroll, i.e. custodial

overtime, OFIP and floater custodian timesheets etc.

?

Prepare all cheque requisitions for bi-weekly and monthly remittances, CRA, Ministry of

Finance and Pension (TPP & OMERS) for authorization by Senior Compensation Supervisor.

?

Prepare and Submit OECTA Pipe files, OTIP data file.

?

Prepare monthly payroll journal entries (Credit Union/Deferred Leaves), for authorization by

Senior Compensation Supervisor.

?

Prepare and submit bi-weekly payroll-based reporting (PBR) files for Teachers' Pension via

TIM.

?

Complete issue resolution and prepare annual TPP reconciliation process for sign off by

Senior Compensation Supervisor.

?

Prepare initial PSAB Vacation Accrual report, collective agreement and grievance settlement

costings for review by Senior Compensation Supervisor.

?

Compiles Deferred Salary interest statements and maintains balance of account spreadsheet

for confirmation of payments for processing (i.e. annual interest and final account payments).

?

Prepare and transfer Bank Files, NDDS processing (OMERS & TPP), payroll notifications, in

the absence of Senior Compensation Supervisor.

PAYROLL

? Prepares, calculates and verifies all data necessary for processing payroll for all employee groups to ensure accurate payroll is processed.

? Works collaboratively with Human Resources staff ensuring required payroll information is received and processed according to appropriate Collective Agreements and Terms and Conditions of Employment.

? Processes all OMERS forms and related communication and performs periodic reconciliations ? Ensures employees provide current banking and tax deduction information for payroll purposes ? Ability to provide excellent customer service when dealing directly with employee inquiries

regarding pay, Collective Agreements, current legislation, deductions and taxes. ? Prepares cheque requisitions regarding payroll deductions and replacement cheques as required

e.g., federation fees, union dues, garnishees, charities, RRSP, etc. ? Responsible for ensuring current knowledge of government legislation, pension guidelines, Board

Policy and collective agreements affecting payroll, pensions and insurance benefits (Service Canada). ? Prepare invoices re: union leaves, secondments, in-services, etc. ? Prepares journal entries re: in-service costs, etc. ? Prepares and ensures accuracy of government e-filed ROE's (Service Canada). ? Assists with the preparation of T4's, T4A's. ? Processes course reimbursements for teaching staff. ? Manual calculations and processing of timesheets for Continuing Education personnel. ? Performs initial calculations of pay related changes for special circumstances, retro pays, prorated salaries, terminations, leaves of absence, changes in levels, FTE, etc. ? Knowledge of related websites, i.e. Service Canada, OMERS, T.I.M, e-Access, etc. ? Provides assistance to employees regarding Teacher's and OMERS pension plans, ensuring employee records are accurate and pension inquiries are resolved in a timely manner ? Provides accurate data required for completion of annual reports. ? Performs other duties as required.

BENEFITS

? Responsible for maintenance, reporting and escalation of Employee Life Health Trust (ELHT) processes.

? Prepare, process and validate all HRIS, Deduction and Payroll Export Files, as per Trust Administrator (OTIP/COWAN) specified requirements and timelines.

? Responsible for notification of LTD approvals for Teachers' Pension via TIM. ? Performs other duties as required.

QUALIFICATIONS

Education

? Two-year College Business or related program or combination of education and experience suitable to the Board.

? Canadian Payroll Association designation, required. ? Willingness to enroll in related professional development.

Experience

? Three (3) to five (5) years previous experience in payroll or accounting area is essential. ? Experience administering pension plans is essential. ? Previous school board experience would be beneficial. ? Previous experience with in-house payroll systems would be beneficial. ? Knowledge of various web-based applications, i.e. Web Business Banking, Service Canada,

T.I.M. e-access, etc.

? High level of proficiency and accuracy in keyboarding and calculations using related computer applications - Outlook, Excel, and Word are essential.

? Critical thinking, analytical and problem-solving skills with an ability to adapt to new ideas and concepts quickly and effectively.

? Highly self-motivated, self-directed, with keen attention to detail, and the ability to work well with minimum supervision.
