Exempt03/01/2020Position Summary The Office Manager is responsible for providing a wide range of office management and support to the company including scheduling/managing calendar, creating job quotes, ordering and receiving, and answering phone lines. These tasks are constantly balanced with customer service through interfacing with customers in-person, by phone and by email. Must be self-managed and direct the duties of the office assistant as well as the schedule for the technicians. Must be resourceful, an independent thinker, and self-sufficient as well as self-motivated. Must be open to providing an extra hand in the shop as needed.Essential Duties and ResponsibilitiesThe essential functions include, but are not limited to the following:Managing overall administrative activities for the officePortraying a positive company image and engaging in professional and friendly communications with customersCreating quotes for customers in both auto and flat glass, ordering and receiving required materials, scheduling work ordersOrganizing paperwork from the initial call for a quote to the closing payment of the invoiceScheduling technicians in an efficient manner, communicating schedule changes mid-day, over-seeing big picture of their daily progressMaintaining inventory for parts on-handCreating and maintaining an inviting and efficient office spacePerforming other work-related duties as assignedMinimum Qualifications (Knowledge, Skills, and Abilities)High school diploma or general education degree (GED)Previous supervisory and customer service experience; office manager experience is a plusGlass, vehicle, and/or construction knowledge is a plusStrong computer and internet skills required including MS Office suite (Word, Excel, Outlook) Excellent oral and written communication skillsAbility to accurately process credit cards, make change and other basic math skillsAbility to prioritize tasks and multi-taskMust be a self-starter with a talent for customer service and a professional demeanorMust be efficient with strong attention to detailMust have strong skills in organization and planning, demonstrated ability to work independently and exercise sound judgment and problem solvingAbility to work in a team environment –need to both take directions from supervisors and effectively give directions to other team membersPhysical Demands and Work Environment The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.
