Another letter had then been sent, signed by both Richard and Jane Fleming, to which a reply had been received that day. Santander is asking for more proof of?name/address of signatories, which may prove problematic since Jane no longer lives at the address on the old account. Alex took the letter and offered to speak to the bank to see how to proceed.Action: Alex to take forward.Jan asked whether Jo and Mark had submitted any expenses, and reiterated that she did not want them to be out of pocket.The minutes were agreed as a true record of the meeting.CorrespondenceNothing received (other than the letter from Santander).Feedback from Previous EventsAlison apologised for missing this from the official agenda. The last quiz, run by Mark and Jo, had proved a roaring success, and we made around ?100 profit after expenses. Thanks were given to Mark and Jo for their hard work. Alex commented that the regular quizzes were a good income stream for the group. FinancesAlex had circulated a breakdown of finances, and the group is in a robust position, having cleared the expenses for the Panto and the free Christmas events. In addition to the Battle of Grosmont contribution from Russ and Jamie, GE had contributed about ?150 to the Panto, and Alex said that the boys were planning another event this year. The GE group has also funded the village website for another year.The GE account is holding ?750 from the Rural Futures grant for the March “Grosmont’s got Talent” event. This will be passed to the official GF group when they have their constitution and a bank account arranged. Any surplus (after the event) will go back to GF, but Alex said that they anticipated spending the full amount.Alex has put a reserve of funds (including the GF grant money) into a deposit account, and will arrange an audit once the Santander situation has been resolved. Jan said that we needed to look to another couple of fundraising events, which will be the May Day breakfast and the Summer Ball (see later in the minutes).Rural FuturesJan has agreed to manage the GF grant of ?750, as that will give continuity between GE and GF during the interim period. The talent event has been arranged for 21/03/2020, and along with all the other village groups, GE will be represented. Jean and Richard offered to help on the GE stand, and Jan and Jo will meet to look at some displays to showcase what we do. Alex pointed out that this should include the behind-the-scenes things that we support (paying for the website, arranging insurance for events, decorating the Town Hall etc) as well as the village events.Actions: Jan and Jo to discuss displays.Working with CADWJudy and Jan had emailed CADW to request a meeting, and had received a friendly and positive response. The Estates Manager, along with two colleagues, has offered to come to the village, and it was suggested that three of the GE team attend. Jan and Judy will meet CADW, and Alex offered to be the third person. A possible date is 28/02/2020, but Jan will wait for confirmation. It was stressed that the meeting needs to be friendly and collaborative, and stick to things that are within the GE munity CouncilMark had attended the previous CC event to raise the problem of damp coming through the walls again following redecoration of the Town Hall. The CC agreed that it was a problem, and it was minuted that Witek would ask Thorteck (the heritage construction company) to take a look at it. Jean said that she had recently seen someone up on a ladder taking a look, so it seems that progress is being made.Jan had asked about the old piano in the Town Hall, and after some discussion, it was agreed that the CC would dispose of it, on the understanding that GE provided a small, electronic keyboard that could be used if required. Jan had looked online, and prices ranged from ?29.99 to ?2000 plus, so she felt that we could provide a reasonable piece of kit for around the ?100, but that there was no tearing hurry, as no-one could say when it would ever be used!Table Tennis – the CC had been asked if their insurance would cover table tennis in the hall, and Frances (the Clerk) was speaking to Karen to answer some queries. Karen’s post on Facebook had received some interest on the post itself, but nobody had actually telephoned her, so she said that until she said that until she got concrete evidence of interest, she wouldn’t move much further forward.Fire Alarms - The CC talked about the fire alarm system that needed testing and checking. Nobody present was actually even aware that there was such a system – we have no idea where it is!Forthcoming EventsClothes Swap – Jean has this all in hand. Posters have gone up, and she will post a reminder a week beforehand. She has offers of clothes rails, and Chloe offered coat hangers – thank you, Chloe. Chloe also offered to take delivery of anything that people cannot drop off on Friday evening, 21st February 2020. Manpower is needed in the Town Hall on Friday between 5.00 and 7.00pm for set-up. The event itself is Saturday 22nd February 2020, 10.30 – 2.30, and Jean will bring teas/coffee. Anything not suitable for swapping will go straight to rag recycling, and anything good left at the end will go to Women’s Aid in Abergavenny. There will also be a donation box for charity.Quiz – The next quiz will be on Saturday 18th April 2020, and Julie Clarke will set the questions. Alison offered to do the shopping and Jo will come early on the night to help set-up, as will Chloe if needed. We need to check how much wine is left, and if necessary, Chloe said that the Angel can order some for us at cost price. We would need to see how that worked out when compared with supermarkets doing “deals”, but from a convenience point-of-view, it would be much easier!Action: Alison to shop for food, and check wine.Spring Craft Session – This was originally planned to coincide with the Spring Market on 14th March 2020, but due to the new Bishop using the Church on that date, the market will have to move. Miriam is waiting to hear from the stall holders re a move to 7th March 2020, and she will let us know ASAP what the situation is. She is very keen to try and have the craft session running alongside the market if at all possible, and will keep us informed. If the market has to be cancelled for March, we could potentially run a session during the Easter Holidays. A few ideas were kicked around as to the sort of things we could do – decorating pots, Easter bunting, Easter cards etc – but we can get more organized once we know the situation with the market.Cycling Group- Neither Jan nor Alex had heard anything from Witek, so it is assumed that everything is going well with them, and they don’t need any help yet.May Day Breakfast – It was pointed out that May Day is being moved this year, to Friday 8th May 2020, to celebrate the 75th anniversary of VE day. It was suggested that instead of a May Day Breakfast, we have a VE Day celebration, with bangers and mash, fancy dress, and a sing-along of the old wartime songs. Jean said that one had been held in the village to celebrate the 50th anniversary, and it had been great fun and very popular. Chloe was asked if this would be a problem for the pub (taking away their lunch service), but she said it would be fine, and she could probably persuade Jim to peel some of the potatoes!Summer Ball- Pencilled in for 20th June 2020. More arrangements can be made after Jan, Judy and Alex have met with CADW, but it was thought that we should provide the music, and folks should bring their own picnics. Chloe said that the Angel has bookings for several new bands/singers, so we could take a look at some of them and see what we thought. Richard said that if we were planning to use the Castle, we needed to have a look at the electric cables.Working with Young People – Judy hadn’t had a chance to look at skittles, but as there are already several events planned that can involve the children, this can wait until the autumn.
