Creating a PowerPoint Presentation

Using Microsoft PowerPoint

This handout gives you step-by-step instructions for using PowerPoint.

1. Go to START + PROGRAM + Microsoft PowerPoint

2. You will be shown a series of slides; select the slide you want and begin

3. If you want to add any more slides you will need to go to

INSERT+ NEW SLIDE

4. To make changes to the slides you will click on the topic to the left, and the slide will show up on the right. You then click on the slide and start typing.

INSERTING A PICTURE

5. If you want to insert a stationary picture you will need to go to INSERT + PICTURE + CLIP ART and select your picture

11. If you want to use animation you will need to go to INSERT + MOVIES AND SOUNDS + MOVIE FROM GALLERY

INSERTING BACKGROUND

➢ Right click on the slide and select background

➢ Use the arrow on the bottom to scroll down and select a color’

➢ If you want more colors, click on “More Colors” and select the color you want

➢ You may also use “Fill Effects” if you want to get other patterns

INSERTING SOUND

If you want to insert pre-recorded sound you will need to go to

INSERT+MOVIES AND SOUNDS+SOUND FROM GALLERY. Type in SOUND and select the type of sound you want. When it asks do you want your sound to play automatically as part of your slide show, click YES

INSERTING TRANSITIONS AND EFFECTS

To insert effects into your slides:

a. Click on the Slide Sorter View (four little squares in the lower left hand corner)

b. Above the slides you will see a box, which says NO TRANSITION. Click on each slide individually and scroll down with the down arrow until you find the transition you want

c. You will see a box, which says NO EFFECTS. Click on each slide individually and scroll down with the down arrow until you find the effects you want.

INSERTING A VIDEO INTO YOUR PRESENTATION

• The most important and difficult thing involved in performing this step is finding and saving a video clip.

• To find a video clip that you can download you need to go to a site, which offers clips for free, such as the library of congress, etc. If you go to a site that does not allow free download there will be nothing you can do to download the clip, except waste a lot of time trying to figure out what you did wrong.

• If you find a slide and its free all you will need to do is go to:

FILE+SAVE AS + the place you want to save it. Sometimes it will be

FILE +SAVE TARGET AS+ the place you want to save it. And sometimes you will only be able to save the file if you don’t open it. If you open it there might not be a save as option.

• Once you have found and saved your video clip you can insert it into your POWERPOINT by going to:

INSERT + NEW SLIDE+ Scroll down to the bottom and select one of the two slides which say TEXT AND MEDIA CLIP or MEDIA CLIP AND TEXT (it does not matter which one of these two slides you select).

• The icon for media clip says, “Double click to add media clip,” – Don’t! Click only once. If you double click it will take you to the Microsoft window and that is not what you want.

• CLICK ONCE + INSERT +MOVIES AND SOUND +MOVIE FROM FILE+ find your file and click +OK It will ask you “Do you want your slide to play automatically in the slide show?” Click YES then click on the view slide show option on the bottom left hand corner and you will be able to see your video clip show.

INSERTING A SOUND INTO YOUR PRESENTATION

If you wish to insert a sound into your presentation, such as a television theme song, etc. You need to go to a sight, which allows you to download for free. One good place to find television and movie themes is . Type in sound and go from there. The same instructions as the ones for inserting a video clip apply, except of course when you go to insert it would be:

INSERT+MOVIES AND SOUND+SOUND FROM FILE+ name of the file and click OK

INSERTING A PICTURE AS A BACKGROUND

If you want to insert a background picture you have to first find a picture and save it to a file where it can be easily accessed. For example:

1. You could go to click on “photo of the day” and select the picture you want.

2. Right click on the picture +Save Picture as+ the file you want to save it in.

To insert the picture as background on your PowerPoint slide you would:

1. INSERT+ NEW SLIDE+ select Blank Slide

2. Right click on the slide and select BACKGROUND (use the down arrow to select FILL EFFECTS+PICTURE (select the picture you want, if you have saved more than one you will see them all)+INSERT+OK +APPLY (DO NOT SELECT APPLY ALL! If you do, the picture you selected will be applied to every slide in your PowerPoint).

3. You can insert a text box if you want to write anything on the slide

Interactive PowerPoints

• There may be times when you will wish to make your PowerPoint interactive. If you do you can follow the steps listed below.

• Please note that the backwards and forwards buttons, linking one slide to another, linking to an internet page, or linking to an e-mail account will not work unless you are in the view slide show mode.

INSERTING FORWARDS AND BACKWARDS BUTTON

To insert a button go to:

SLIDE SHOW + ACTION BUTTONS + select the button you want (once you select the button you want you can drag it and size) + Click on the slide (the button and an ACTION SETTING box will appear) + select Hyperlink To + Use the arrows to select the slide you want it linked to and click OK.

To change the color of a button DOUBLE CLICK on it and a “FORMAT AUTO SHAPE” BOX will appear. Use the arrows and select the colors you want. Click OK.

Buttons will only work when you are in the view slide show mode.

LINKING INFORMATION IN ONE SLIDE TO ANOTHER

1. Highlight the word on the slide that you want to link

2. Go to INSERT +HYPERLINK (an INSERT HYPERLINK box will appear)

3. The top left hand corner of this box is labeled LINK TO. Select PLACE IN THIS DOCUMENT

4. The slides you have already made will appear, select the slide you want it linked to and click OK

5. If you were successful, the word you linked should now be highlighted a different color

As with inserting forward and backwards buttons, THIS LINK WILL NOT WORK UNLESS YOU ARE IN THE VIEW SLIDE SHOW MODE.

INSERTING AN INTERNET PAGE

1. Select a word, etc. on your slide that you want to link

2. Go to INSERT + HYPERLINK

3. Click on EXISTING FILE OR WEB PAGE

4. Click on the web page you want, or type it in and click OK. Please note that if you type it in you must use the http:// part of the address.

5. If you were successful you should see a color change, the same as you did when linking one slide to another.

As Always, THIS LINK WILL NOT WORK UNLESS YOU ARE IN THE VIEW SLIDE SHOW MODE.

INSERTING YOUR E-MAIL

6. Select a word, etc. on your slide that you want to use as the link to your e-mail

7. Go to INSERT + HYPERLINK

8. Click on E-MAIL ADDRESS

9. Type in the e-mail address you want to use and click OK

10. If you were successful you should see a color change, the same as you did when linking one slide to another, or inserted a web page link.

As Always, THIS LINK WILL NOT WORK UNLESS YOU ARE IN THE VIEW SLIDE SHOW MODE.

INSERTING AN OBJECT

1. Go to Insert + New Slide

2. Select an object slide, there are several to choose from, and click OK

3. Double click on slide to add object

4. Use the down arrows and select the object you want to add and click ok.

SETTING THE TIMING ON YOUR SLIDES

a. Click on the first slide and go to SLIDE SHOW + REHEARSE TIMINGS

b. Click on the slides to select the time you want. When you are done you will be asked if you want the timing inserted in your slide show, click YES

VIEWING YOUR SLIDE SHOW

There are three ways to view your slide show:

3. Go to SLIDE SHOW + VIEW SHOW

4. Go to VIEW + SLIDE SHOW

5. Click on the first slide and go to the bottom left and click on SLIDE SHOW (The symbol which looks like a cup)

Inserting Objects

1. Go to Insert + Tool Bars + Visual Basic

2. Click on the two hammers

3. When second tool bar comes up Click on the 2nd hammer

4. Scroll down and select Windows Media Player

5. When you see the + (called a crosshair) drag it all the way across the screen

6. Right click and select Properties

7. Then click in the Custom Box and select the thee dots (…)

8. Browse and find your media file where you saved your clip (Note: Miss Rising has saved some for you on the common drive under Students + generic +Webson+ creativity Fun Pack)

9. Click on the advance tab and select Windowless Media

SAVING YOUR DOCUMENT

1. Remember, you should always save your document periodically as you work. If your document is lost and you have not saved, there is no way to retrieve it.

2. In order to open a PowerPoint document, which you have saved, you must have PowerPoint open. If you simply go to your name and try to open the document, you will not find it.
