POSITION DESCRIPTION

Executive Assistant to the President

The Executive Assistant to the President reports to the President and is responsible for providing administrative coordination, secretarial support and public relations to supplement the President’s ability to respond to all the needs of the College and the community. This position serves as principal liaison for public, student, faculty, staff and administrative contacts with the office of the President.

Primary Duties and Responsibilities Include:

• Screen incoming visitors, telephone calls and mail to the President’s Office.

• Assist the President with preparation of the regular and special board meeting agendas by collecting, compiling, and/or preparing routine agenda items, preparing them in the standard format and submitting them to the President, etc.

• Serve as recording secretary and assistant to the College Board of Trustees.

• Assist the President with coordination of special events hosted by the college such as legislative receptions, visiting dignitary functions, meeting of off-campus groups, etc.

• Coordinate with authority such projects, committees, and ongoing functions as the President assigns; review and monitor them for compliance with institutional policies, laws and regulations while keeping the President informed of any adverse situations.

• Serve as liaison to the College Public Information Office and assist in the implementation of a campus wide communication plan and legislative action plan.

• Maintain President’s meeting calendar.

• Assist the President with preparation of the President’s meeting agendas. Attend President’s meetings as part of the President’s Staff.

• Compose and independently prepare selected letters, memorandums, reports, and surveys.

• Assist with the development of and monitoring of the office and board budgets; prepare various forms for purchasing and reimbursement; monitor institutional dues and membership fees.

• Coordinate travel arrangements and reimbursement requests and maintenance of office files, records, receipts, purchase requisitions, etc.

• Establish/maintain standardized filing systems for the President’s Office.

• Supervise classified staff as assigned by the President.

• Perform other duties as deemed necessary and assigned by the President.
