Job Title: Adoption & Foster Administrator

Job Classification: Full time, non-exempt

Job Relationships: Reports to Executive Director

Job Summary: The Adoption & Foster Administrator (AFA) has a complete knowledge of the policies and procedures of the McKamey Animal Center. The AFA has the responsibility and overall ability to train, supervise, evaluate and discipline all Adoption staff (Counselors, Adoption Caretakers and Lead Adoption Counselor) plus the Foster Coordinator who are working with the health, well-being, general care and adoptability of animals within the Center. The AFA will develop policies & procedures that will enhance the flow of animals, the adoption process and diminish animal returns. The AFA position is part of the management team and will develop a strong and positive working relationship with all McKamey staff members. The AFA will have accountability for monitoring and handling problematic issues / complaints in a timely manner.

ADOPTIONS - The AFA is responsible for the daily handling and care of animals and the overall adoption & foster process while maintaining a safe and sanitary facility for both animals and people. The AFA will assist the public when admitting or adopting animals and promote the teaching of responsible pet ownership.

FOSTER - The AFA will supervise the Foster Coordinator and assist in organizing, monitoring and maintaining the Foster Program in such a manner to allow animals “in need” to be moved out of the shelter for recovery from injury, treatment of a medical condition or growth until appropriate adoption age. The AFA will assist in cultivating, training and supervising volunteers for the foster program

Salary Range: $14.00 per hour / $14.50 after 90 day training is finalized.

Job duties and other responsibilities:

1. Adoption Counselors, Adoption Caretakers & Lead Adoption Counselor:

➢ Develop training protocols and train, supervise, manage, motivate and evaluate all Adoption staff members.

➢ Schedule staff to insure arrival to open Center and allow staff from all departments to enter and clock in if necessary.

➢ Assign staff their daily job assignments or post within schedule to insure all know and understand their proper duties.

➢ Monitor & record attendance of staff within HR guidelines. If needed adjust schedule to cover absences to insure proper care of animals & service to potential adopters.

2. Opening Duties:

➢ Walk through Adoption Pavilion & check condition of animals. Report any medical concerns to the Veterinary Services Administrator.

➢ Insure staff are properly handling assigned job duties.

➢ Monitor the daily care of animals in the adoption areas.

➢ Check all supplies and order/pick up as needed to maintain proper inventory

➢ Check and answer voice mails and address complaints as needed.

➢ Insure staff are properly handling financial responsibilities and submitting daily financial records.

3. Daily Duties & Animal Care:

Maintain a “hands on” approach for the daily operations of the adoption area to insure quality customer service & movement of animals into forever homes.

➢ Provide direct “hands on / shoulder to shoulder” daily supervision of all Adoption & Foster Staff.

➢ Maintain an obvious presence on the adoption floor during ALL hours of operation.

➢ Assist staff with adoptions, providing helpful & educational guidance in a friendly, positive manner to insure visitors obtain knowledge about Center programs, adoption & proper animal care.

➢ Assist staff with visitors in the Center who are searching for the “right pet.”

➢ Assist staff with accepting donations – monetary or in kind.

➢ Monitor all adoptions, approvals and money transactions.

➢ Perform daily work according to established methods (this includes cleaning kennels/cages, washing/drying bedding, sterilizing food bowls/ litter boxes, bathing/exercising and moving animals).

➢ Handle customer problematic issues in a timely manner and insure management is aware of the situation and resolution.

➢ Perform “desk duties” prior to opening.

➢ Assure all animals are cared for regarding food, water, daily exercise, and appropriate living conditions.

➢ Hourly walk through the adoption areas open for visitors to insure all areas are clean & animals are appropriately housed for adoption. Make immediate corrections if an area or animal is not satisfactory.

➢ Monitor the health and behavior of the animals.

➢ Socialize the animals and create a positive living environment.

➢ Maintain a clean, orderly, appropriately stocked work environment.

➢ Maintain records on the animals.

➢ Work with clinic staff in identifying and documenting illness and injuries of adoptable animals.

➢ Develop, prepare & provide information, new owner kits, and giveaways as needed.

➢ Attend special events as assigned.

➢ Follow guidelines concerning safety and handling of hazardous materials.

➢ Work collaboratively to ensure that each visitor, animal, and staff member has a positive experience while onsite.

➢ Train & certify as a Euthanasia Technician within 90 days. Preform euthanasia as needed or scheduled & assist with the cremation process.

➢ Process the adoption report for the Hills Food Program and submit it on a weekly basis.

➢ Process the adoption records for the weekly Management Staff Meeting.

4. Foster Program:

➢ Assist the Foster Coordinator with recruiting, training and monitoring volunteers for the Foster Parent Program.

➢ Monitor medical treatment of foster animals & schedule appointments for rechecks.

➢ Make follow up calls to insure the animal is working well in the home & the foster parent is pleased with the program.

➢ The AFA will insure the Foster Coordinator maintains proper foster records, conducts volunteer training and follows up on foster animals. All of these activities should be scheduled prior to the opening of the Center for adoptions because the AFA should be on the Adoption floor during open hours.

5. Retail Store:

➢ Monitor the sale of merchandise in the “retail store.”

➢ Maintain & order supplies as needed to insure the proper inventory of the store.

➢ Train Adoption Counselors to include the retail store in closing an adoption.

➢ Process the monthly inventory of supplies & forward document to the Financial Controller.

➢ After processing the monthly inventory, create an order for purchasing additional supplies to replenish inventory. Give order form to Director of Administration for ordering.

➢ Inventory ordered supplies when delivered and restock store.

6. Client Care

➢ Serve as a representative of the Center, displaying courtesy, tact, consideration, and a positive attitude in all interactions with clients, staff, and animals.

7. Closing:

➢ Prior to closing – Announce to visitors that the Center will be closing in 15 minutes to allow all adoptions to be finalized.

➢ Lock the front door at closing.

➢ Walk through adoption area to insure animals are in satisfactory condition (clean, fed and watered).

➢ Check & reconcile adoption counselor daily receipt envelopes & initial.

➢ Check & lock all doors in Adoption Pavilion.

➢ Turn OFF lights in pavilion, real life rooms, colony rooms, storage room, education room, lobby bathrooms, janitor closet & adoption lobby. – Do not just dim the lights.

➢ Make sure all radios & humidifiers are off and UNPLUGGED.

➢ IF Manager On Duty & responsible for securing & setting the alarm - Check with other supervisors or staff members to assist where needed – Close Center in accordance with printed MOD information.

8. Other duties as assigned by the Executive Director.

Qualifications/Requirements:

Education/Experience: College/associates degree and/or 3 – 5 years’ management, supervisory, customer service and program development/promotion experience. Minimum five years of working and interacting with the public. Individual will have an interest in animal care and welfare. Show an energetic, positive and upbeat outlook

Knowledge and Skills:

Show strong interpersonal skills. Must be able to relate and confer with the managers and associate staff in a positive and constructive way; exercise good judgment when dealing with the public and when making decisions in the absence of a supervisor. Strong analytical skills

Candidate must have the ability to make sound judgments and work independently and in a team setting in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.

Demonstrate written and verbal communications of a professional standard.

Support the mission of the McKamey Animal Center and be an effective representative the Center’s position on issues. Self-motivated to keep informed of, and clearly and accurately relay facts about, the Center’s news, events, and informational material. A basic knowledge of animal health, care and welfare plus an ability to work with animals is a basic requirement. Strong animal handling skills with a good knowledge of animal breeds and colors is desirable. Attention to detail. A “can do” team player attitude and willingness to go the extra mile. Complete flexibility with the job, work schedules, and the overall staff team needs. Position has long hours and requires nights, weekends and holidays to insure proper care of animals and service to potential adopters. Enjoy handling a variety of tasks.

Other: Must be at least 21 years of age, valid driver’s license and insurable driving record.

Work Environment: Exposure to high noise levels, “zoonotic” diseases, and animal bites/scratches when handling animals; exposure to cleaning agents; exposure to all weather conditions when outdoors; bending, reaching, and walking up to 8 hours a day.

Work Schedule: The AFA will be scheduled on an opposite shift from the Lead Adoption Counselor – Tuesday – Saturday or Sunday – Thursday. This will allow a Supervisor to always be on duty when the Adoptions department is open.

Physical Activities: Occasional lifting of up to 100 pounds with assistance; potential for standing/walking up to ten hours a day; scrubbing kennels and mopping; sitting at a desk; driving a car; performing physical examinations on animals; animal restraint; handling syringes and needles.

Pre-Employment Requirements: The McKamey Animal Center conducts criminal background checks and requires drug testing of all employment candidates.
