POSITION TITLE: Administrative Secretary for Elementary Director and Coordinator

PAY GRADE: Grade 5 – 240 Days - Salary Range: $22,954.00 - $39,083.00 – Salary placement will be based on Douglas County Board of Education approved salary schedules and years of verified experience.

PRIMARY FUNCTION: To assist the Elementary Director in any manner needed.

REQUIREMENTS:

1) Educational Level: Minimum of a high school diploma plus up-to-date computer experience. Three or more years successful secretarial experience in an educational environment.

2) Certification/License: None

3) Physical Activities: Routine physical activities that are required to fulfill job responsibilities.

4) Proficient Skills: Exceptional communication skills, exceptional computer skills including knowledge of all office software applications, able to maintain confidentiality, able to complete a high volume of work with accuracy in a timely manner, familiar with budgets and accounting procedures, proficient in use of all types of office machinery, demonstrate sound judgment, initiative, and responsibility.

ESSENTIAL DUTIES:

1. Demonstrate prompt and regular attendance.

2. Produce and maintain all correspondence for Elementary Director.

3. Maintain Director’s instructional budgets and professional development budgets.

4. Assist Elementary Coordinator as needed.

5. Assist parents with concerns and/or provide information either by phone or in person.

6. Keep Director and Coordinator informed regarding concerns of parents, principals and assistant principals, etc.

7. Generate and track purchase orders.

8. Collect and maintain information and documentation from elementary schools, including, but not limited to, EIP, maximum class size, budgets, inventories, SACS, end-of-year documentation, etc.

9. Obtain quotes and prepare purchase orders for instructional materials/textbooks for the opening of new elementary schools.

10. Assist with compiling needs requests and estimating funds needed for textbooks and materials related to elementary classroom growth.

11. Prepare and distribute information pertaining to any grant monies for elementary schools and monitor spending of funds to meet deadlines.

12. Prepare information and assist registration office with registration for kindergarten.

13. Prepare summer school information, collect documentation, and maintain teacher lists and correspondence packets for elementary summer school.

14. Assist director with projected enrollment and teacher allotment reports.

15. Assist with preparation of Instructional Staff meeting minutes.

16. Assist as directed with preparation of agendas, handouts, sign-in sheets, and room arrangements for all meetings on the elementary level.

17. Maintain all correspondence for Director and maintain paper and technological files.

18. Maintain travel reports for Director and Coordinator.

19. Prepare all Director’s and Coordinator’s records for the Records Center.

20. Generate warehouse and maintenance requests.

21. Maintain weekly agenda for Director and Coordinator.

22. Maintain physical and technology inventories for Director, Coordinator, and Secretary offices.

23. Work in coordination with other Central Office departments.

24. Perform other duties as assigned.

TERM OF EMPLOYMENT: 240 Days
