Introduction

This document contains instructions on how to use the remote data entry application for Softball. It is extremely important that you follow the guidelines laid out in this document. Not doing so will result in errors in your team’s information and could cause your team’s information to not be published in the newspapers and on the STLtoday Prep Sports web site. Please print or save this document for future reference.

Passwords and User Names

For security purposes your password and user name have been sent to you at the email address you provided to STLtoday Prep Sports. Should you forget your password or user name, send an email to us at stats@ and include your name, your school’s name, your position at the school or with the team, and what sport you are authorized to access. We will respond to your email within 72 hours.

Your password is case sensitive. It must be entered exactly as it was provided to you.

We encourage you request your preferred user name and password. Email us your request at stats@

Logging in

1. Connect to the Internet and proceed to . Bookmark this page immediately.

2. Click the “Login" link under St. Louis Area High School Athletics.

3. Select your sport from the drop-down list, enter your user name and password and click the "Login" button. The password and user name are case-sensitive and must be entered exactly as they were provided to you.

4. You will be taken to your team’s Control Panel, pictured below. This page will be where we place notices and update information. Please check this page regularly for announcements. From this page, you can access your team’s schedule, roster and all game data.

1. Schedule Management

Schedules are the backbone of our entire system. Everything starts with proper schedule entry and goes from there. Use extreme caution when working with your schedule and follow these guidelines precisely. There are two schedule formats available for use – TEAM SCHEDULE and DAY SCHEDULE. Each is explained in detail below.

Using the TEAM SCHEDULE vs. DAY SCHEDULE functions

The TEAM SCHEDULE function allows you to work with all aspects of one team’s schedule at a time. This can be useful when updating a team’s schedule due to re-scheduling issues or for locating a specific game to make changes or corrections. The DAY SCHEDULE function allows you to view all games on a specified date. The DAY SCHEDULE will allow you only to view the daily schedule, it will not allow you to edit any information or enter game results.

Entering Games on the Schedule

Only the TEAM SCHEDULE feature can be used to add games into the database. The DAY SCHEDULE can be used only to view a daily schedule. When you add games using the TEAM SCHEDULE the view will be refreshed every time you save a schedule entry, allowing you to immediately view what you just added and verify it’s accuracy.

DAY SCHEDULE Usage Instructions

1. Click "DAY SCHEDULE"

2. You will be presented with the schedule for the current date (shown below).

3. Select a different date by using the drop-down boxes in the upper right-hand portion of the page.

The DAY SCHEDULE function allows you only to view all games scheduled on a specified date. You cannot edit any schedule entries or edit or add any game results or stats from the DAY SCHEDULE. To add or edit game schedules or game results and stats, use the TEAM SCHEDULE.

Adding Games to the Schedule

Schedules are the backbone of our entire system. Everything starts with proper schedule entry and goes from there. Use extreme caution when working with your schedule and follow these guidelines precisely.

1. Click "TEAM SCHEDULE" from the Control Panel.

2. Click "New Event" at the top left part of the schedule.

3. Enter the game information as illustrated below.

4. Repeat steps 2 and 3 until all scheduled games have been entered.

Using the “Site” Field

All information in the top portion of this screen must be entered except for the "Site" field. The “Site” field is to be used only when the game is being played at a neutral or off-campus location. DO NOT USE THE SITE FIELD IF YOUR HOME GAMES ARE PLAYED ON CAMPUS, OR IF AWAY GAMES ARE PLAYED AT THE OPPOSING TEAMS ON-CAMPUS FACILITY.

The Game “Type” CANNOT be left as TBA; you MUST select League, Non-League or Tournament from the list! Blank fields will cause the entire schedule (not just that game) to not be published.

Teams/Sites Not Listed

Instances where you are playing a team that is not in the School List or at a location not in the Site List will likely occur over the course of the season. When this happens, use the “1.Not Listed” name from the School List or Site List and send us an email immediately telling us what team you are with, what team or site we need to add to the lists and the date of the game. We will add the school or site to the list and finish that schedule entry for you.

Updating Schedules and Deleting Games

Please keep your schedule up to date. If a game is re-scheduled, as soon as possible you should select that game from the schedule and change the date and time as is appropriate.

Deleting Games

Remote deletion of games is not allowed. If you have a game that needs to be removed from your schedule, please contact STLtoday Prep Sports and we will remove the game for you.

To enter game results and stats, jump to SCORES AND STATS.

2. Roster Management

From the Control Panel, Click PARTICIPANT ROSTERS. You are presented with a page that displays your current team roster (pictured below).

Adding player information

1. Click "New Player". You are presented with a page that displays all available roster fields (pictured below).

2. Enter all player information and click the "Save" button. Please enter all requested information. First and Last Names, Year in School, Positions and Uniform Numbers are all vital information and should be entered into the database.

3. Repeat steps 1 and 2 until you have your entire roster entered.

Roster Data Entry Rules

Only the following formats are valid for Roster Data Entry. Using formats other than listed here will result in you receiving an error message and your data will not be saved.

Year: This is asking for the year the athlete is scheduled to graduate and should be entered using the 4-letter year description (ex: 2002, 2003, etc.).

Height: Enter in ft-in format. Do NOT use feet (‘) and inch (“) indicators (ex: 5-6, 6-10).

Weight: Enter the numeric characters only. Do not use “lb.”, “#”, etc. (ex: 138, 212).

Position #1, Position #2: Use only 1 or 2 letter abbreviations for positions and use all capital letters (ex: P,C,1B,2B,CF,RF,DH, etc.)

Jersey #1, Jersey #2: Use numeric characters only, no (#) punctuation. Also, a zero (0) in front of a number is ignored. Therefore, “00” becomes “0”, “01” becomes “1”, etc. (ex: 27, 1, 2, etc.).

Editing player information - To edit any roster data, simply click any player name from your roster, make any changes, and click the “Save” button.

Deleting Players

Players cannot be deleted, because their associated stats would create errors in the team’s total stats. If a player is no longer on your roster, instead of deleting the player, we classify that player as “Inactive”. Setting a player inactive will remove the player from eligibility for any leader lists; yet retain the correct individual stats associated with your team.

3. Entering Scores and Stats

Line Scores/Box Scores

In order to enter game results, the game must first be on the schedule and the line score entered.

1. Click the "TEAM SCHEDULE" link on the Control Panel.

2. Locate the game on the schedule for which you want to enter data and click the "Results" link on the left side of the schedule. If the game does not appear on the schedule, add the game by selecting the "New Event" link (see instructions above).

3. Enter the score by periods and the number of periods actually played in the appropriate fields (see illustration below). The total score is calculated automatically and will automatically determine a win, loss or tie for each team.

4. Click the "Save" button and you will be returned to the schedule page.

Game/Player Stats

All stats are entered on a game-by-game basis only. No Cumulative stats can be entered.

1. Click on the team name of the team for which you want to enter game stats.

2. Click on the player name of the person for which you want to enter stats.

The default (first) page you will see is the “Hitting” page. To enter “Pitching” and “Fielding” stats, select the appropriate link from near the top of the page.

A quick method of adding names to a roster is provided on this page. If you are entering box score information for an opposing team and a player is not on the roster, click the New Player link in the top right of the page to add the player, or use the TEAM STATS roster position to enter only the box score totals for the game. Use caution to avoid duplication of roster entries (check alternate name spellings, etc.) and always enter first and last names as well as uniform numbers!

3. Enter the stats into the appropriate fields and click the "Save" button.

4. Repeat steps 2 and 3 until all stats have been entered for that team.

6. Click the opposing team name link at the top of the page so you can enter the stats for that team.

7. Repeat steps 2 and 3 until all stats for that team have been entered.

8. You are finished with this game. Click the “Classify” link near the top left of the page, then click the “Save” button on the next page. You cannot change the Classification, just click “Save” to finish with this game.

Deleting/Changing Stats

When deleting or changing stats for players USE EXTREME CAUTION. Remember that the individual player stats are compiled to create the team stat totals. For example, all players’ total hits, runs, etc. must equal the opposing pitchers’ stats for hits and runs allowed.

Game Data Entry Rules

The data entry screens for Softball contain fields that are not found on the stat reporting and summary forms that are distributed to teams. These fields must be completed in order to assure accuracy and proper calculating of the stats. These fields are identified and explained below:

Hitting

Enter complete and accurate stats for all players. Bear in mind that stat categories such as batting average, slugging percentage and more are developed from these individual stats and the box score is generated from them as well. The total of all individual player’s runs scored must equal the team’s total in the line score. The total of all individual player’s walks and strikeouts must equal the totals for the opposing pitcher. The yellow area shows team totals updated as each player’s stats are entered.

4. Important Notes & Helpful Hints

Please Be Aware

All information that you enter into this database is EXACTLY as it will appear in the newspapers and on the web site! Accuracy is important. Correct spelling of names and accurate statistical entry is essential to the accurate publication of the information.

Newspaper Publishing Issues

All games MUST be reported on game night before 10:15 pm in order to make most editions of the newspaper. Secondary deadlines allow for games to be published in later editions of the paper that will still reach over 60% of the readers. Games not reported on game night WILL NOT be held over for publication in the next day’s paper, so even if after 10:15 pm, you must still report the game if you want it to appear in ANY editions.

Box Score Requirements for Newspaper

Box score data required on game night includes: The score by innings, total runs, hits and errors (entered as individual stats and compiled by the system), winning and losing pitchers names, pitcher name if a save is awarded and all individual hits for all players. It is important to provide this data for BOTH teams, not just your own, or the box score will not be published.

Accurate & Complete Stats

Additionally, box scores must be complete and accurate in order to be published. All game data entered online is reviewed and, if it is not complete or if it does not add up correctly, the box score is NOT sent to the newspaper. You may enter your information online and, if concerned with the accuracy, completeness, or if you just want to verify that it was received, you can call us at (314) 830-5400. You may, of course, report box score data by phone and then enter the remainder of the game stats through the online data entry application.

If Game Is Not Reported On Game Night

Should you for some reason be unable to report the data on game day, you should still report it as soon as possible. Monday and Thursday editions of the paper contain the previous week’s data. Even though a particular box score did not make it before deadline for the next day’s paper, it can and will be included in these weekly wrap-ups.

Schedule Issues

If you have a game scheduled against a team that you cannot find on the school list, you should use the "1. Not Listed" entry and email us immediately at stats@ and include the correct school name so we can add the team to the list. This occurs frequently in Tournaments. Please review the list carefully, considering alternate spellings or a city name of the school prior to asking us to add a new team or school to the list. Similarly, if you need to delete any games, you will need to contact us to do so.

Tournament Schedules

For Tournaments, please fax us a copy of the tournament bracket as soon as it is possible to do so. We will add the first round game to your schedule and add other games once second and successive round matchups are determined. It is important that we receive both the bracket prior to the tournament and all game results during the tournament so that we can properly advance teams through the brackets and add games to your schedule. If you have played a tournament game and it has not been added to your schedule, you may add the game AFTER it is played just as you would any other game.

H = Hits – Include all hits (singles+doubles+triples+home runs)

RBI – Runs Batted In

2B, 3B, HR – Doubles, Triples, Home Runs

BB = Walks

HBP = Hit By Pitch
