Introduction to Subsequent Modules for e-Medsys®

The following exercises are supplements to Modules 1-10 denoted in the e-Medsys® Total Practice Management Workbook presented by Delmar, Cengage Learning. Special emphasis will be placed on using the command key functions to enhance speed and effectiveness in the data entry components.

The student must complete Modules 1 through 10 in their entirety before addressing these additional scenarios.

The content of these exercises begins with basic registration and appointment scheduling. The student is provided with screenshots and step-by-step instructions to guide them through this process. The student will be referred to previous sections from the original modules for examples and troubleshooting techniques.

The EHR feature is expanded to allow the entering of physical exam information in the patient’s chart note. There will be instructions as to printing documents and turning them in to the instructor for grading and evaluation. Additionally, the instructor has the latitude to have material printed for grading at their discretion.

As the student progresses through these additional exercises, they are provided with fewer step-by-step instructions and fewer screenshots. The last module will provide only demographic and clinical data on new patients. They will utilize knowledge gained previously and register, schedule, bill for services, and enter payments and adjustments for these patients.

Module 11: Reviewing Patient Registration

These tasks require you to register patients with associated demographics.

Please refer to Module 1: Patient Registration as you complete this task.

Task 11-1: Entering Patient Demographics

A. Julie Michaels, a new patient, calls today to schedule an appointment for shoulder pain after playing in a softball tournament over the weekend. She would like to schedule the appointment with Dr. Vincent Venus. You will need to add the following registration information provided in Table 11-1 to add the patient into the database prior to scheduling the appointment for her.

1. Log on to e-Medsys®.

2. Open the Patient Registration tab to record the following information. Click on New Patient to allow e-Medsys® to assign an account number.

3. Click on Accept. You will complete the remaining demographic information when the patient arrives for her appointment.

B. Alex Cordova, a patient moving to the area, wishes to establish a relationship with your practice. He calls to schedule an appointment with Dr. Appolo at Gastro Calabasas Medical Group and provides you with his demographic information.

1. Log on to e-Medsys®

2. Press CTRL+P to open the Patient Registration Tab.

3. Click on the New Patient tab and record the following demographic data of the Patient Information found in Table 11-2.

Task 11-2: Entering Insurance Plan and Guarantor Information

Now that you have created a new record for Alex Cordova and have entered his demographic information, his insurance plan information can be added. Continue to use the information provided in Table 11-2.

1. Click Accept + Ins or press Alt + I.

2. Click on the Add Ins tab or press Alt + I and enter Alex’s insurance information.

3. Make sure the radio button to the right of the screen marked “Active” is checked and the Patients Relation to Policyholder field is defaulted to “Self” from the drop down menu. Then click Accept.

5. Next, click on the Guarantor tab and enter Alex’s information. Check your work with the following screenshot:

6. Make sure the Dunning Message and Guarantor blocks are checked for this patient. Click Accept or press Alt + A then click Exit at the top of the screen or press Alt + E to return to the main menu.

Task 11-3: Putting it All Together: Registering a New Patient

This task will require you to register two patients without step-by-step instructions as given in previous tasks. Use the information provided in Tables 11-3 and 11-4 to register the following patient.

A. Barbara Greene, a new patient, calls today to schedule an appointment for a new patient physical exam. She would like to schedule the appointment with Dr. Vincent Venus. You will need to add the following registration information to add the patient into the database prior to scheduling the appointment for her.

Task 11-4: Changing the Order of Patient Insurance Plans

The following task will require you to change the order of the patient’s insurance plan. Please refer to Module 1 Patient Registration, as you complete this task.

Barbara Greene has informed your practice she has additional insurance through her employer and wishes it to be billed as her primary.

1. Log on to e-Medsys®.

2. Press Ctrl +P to open the Patient Registration tab.

3. Type “Greene” in the Patient Name field and click Search (Alt+S).

4. Click on the Ins tab as shown by the below screenshot.

5. Click on Add Ins (Alt+I), type % in the Insurance Plan field and press enter.

6. Scroll down to MEDICAL GROUP IPA PLAN as shown below and press OK.

7. Enter the insurance information as described in Table 11-5:

10. Click on Change Order as identified above.

11. Double click on MEDICAL GROUP IPA PLAN first and BLUE SHIELD second to change the order.

12. Click OK on the first pop-up box and YES on the second box to complete the order change.

13. Proceed immediately with Task 11-5.

Task 11-5: Inactivating a Patient’s Insurance

Please refer to Module 1: Patient Registration as you complete this task.

Barbara Greene has informed your office that her husband, Marvin has decided to drop his insurance plan. The following steps will walk you through deactivating his insurance policy.

1. You should still be in the Patient Registration screen under the Insurance tab for Barbara Greene. Highlight Blue Shield of California.

2. Click on Modify Ins (Alt+M) as shown in the below screenshot.

3. Uncheck the active button for the Blue Shield insurance plan and type April 4, 2008 as the end date as shown below.

4. Click Accept (Alt+A).

5. A pop-up screen appears with the question “Update the patient’s charges with the new insurance ranking (uses effective dates)?” Click Yes.

6. Click Exit to return to the main menu.

Task 11-6: Putting it all Together: Changing the Order of a Patient’s Insurance and Inactivating an Insurance Plan

This task requires you to change the order of a patient’s insurance and inactivate one of the plans without step-by-step instructions as previously provided.

1. John Marks informs your office that he is switching to Cigna as their primary insurance plan. Additionally he tells you his Aetna insurance will become inactive on April 6, 2008. Make the appropriate changes for this patient.
