Due to COVID-19 all BPA staff are currently working from home with the date for returning to the office TBC.Travel to Japan to attend the Paralympic Games will be required from approximately 12th August – 8th September 2021 (exact dates subject to change) and travel within the UK will also be required as necessary.JOB PURPOSE:The Games Operations Manager (Maternity Cover) is an integral member of the Operations team and is responsible for the day to day management and delivery of Games related operations and logistics, to facilitate the ParalympicsGB team’s participation in the Tokyo 2020 Summer Paralympic Games. The role will manage and deliver across key operational areas including Village operations and accommodation, rate card, procurement and technology.GAMES-TIME ROLE:Member of the Paralympic Village Operations team. The specific responsibilities for the Games-time role will be discussed and agreed with the Operations Director and Head of Operations. Key ResponsibilitiesThe Games Operations Manager (Maternity Cover) will play a key role in developing and implementing Games operations required to deliver the best prepared ParalympicsGB team to the Tokyo 2020 Summer Paralympic Games. Providing leadership and support across all operational areas they will have specific responsibility for the management and delivery of certain key projects. The responsibilities of the role will include, but are not limited to:World leading and effective delivery of essential operational requirements including Team Village Allotment and Space Planning, Rate Card, Procurement, Technology requirements, Arrival and Departures and Accommodation, ensuring they are completed in an accurate and timely manner.Lead on the sourcing and allocation of accommodation outside of the Paralympic Village for accredited and non-accredited staff, and other key client groups, through working with NGB Team Leaders, senior BPA staff and stakeholders and key partners and supporters.Support the overall Sport Preparation Strategy through providing operational support to ParalympicsGB preparation initiatives both in the UK and overseas. Manage and deliver operational requirements for Test Events, Venue and Village visits, and supporting all NGB visits to Japan as appropriate.Contribute to Post-Games reports and reviews.Manage BPA full-time and contract staff as required by the games-time organisational structure, ensuring performance and development opportunities are met. Project Management & BudgetingDevelop, manage, and report on relevant project budgets, including input into wider games budgets as required.Project specific planning, programme management and reporting for all relevant areas of operational delivery, ensuring compatibility and integration with the wider BPA Project Plan.Conduct and report on appropriate risk assessments and risk mitigation strategies for all relevant operational areas. Ensure all operational timelines are adhered to and all key strategic planning documentation is completed and kept updated.Relationship ManagementBuild and maintain effective working relationships within the BPA and all relevant project stakeholders and partners, including, but not limited to, Sport Team Leaders, Tokyo 2020 Organising Committee representatives, British Olympic Association, suppliers and BPA commercial partners and supporters.Establish and maintain effective and appropriate relationships with relevant sport NGB representatives with regard to their Games-time operational delivery requirements. Lead on all project communications with relevant stakeholders to ensure that there is a clear understanding and acceptance of the plans and what may be required of them, where necessary.Provide input, insight and updates to the Games Planning Group (GPG), Games Leadership Group (GLG) and other planning groups and committees as required, for discussion and approval and provide feedback and opinions where necessary to ensure excellent Games-time servicing and procedures.Games Time ResponsibilitiesThe detailed responsibilities of the Games-time role will be discussed and agreed with the Director of Operations and Head of Operations. However, it is likely the Games time responsibilities of the Games Operations Manager will include: Perform a lead role within the Games Operations team in the Paralympic VillageStakeholder relationship management, including athletes, sports staff, OCOG, contractors, suppliers and guestsParalympic Village accommodation bump-in and bump-outThe Games Operations Manager (Maternity Cover) will also be required to carry out any other duties deemed necessary and consistent with the demands and responsibilities of the role as requested by the Director of Operations, Head of Operations, or other members of the BPA Executive team.PERSON SPECIFICATIONQUALIFICATIONSEssentialEducated to degree level or similar qualificationDesirableProject management qualificationROLE REQUIREMENTSDue to its engagement with the ParalympicsGB teams at the Tokyo 2020 Paralympic Games, an assessment process may be undertaken to determine whether or not the post-holder requires a DBS Disclosure and Barred (DBS) list check.KNOWLEDGE AND SKILLSEssentialOperational Experience – previous experience of operational delivery within a complex environment. Previous experience of working in a multi-sport environment and/or Paralympic or Olympic Games.Project Management - proven ability to develop and manage complex projects across multiple delivery partners, using appropriate methods and with a keen eye for detail. Stakeholder Management - ability to develop excellent working relationships with all relevant internal and external contacts (e.g. suppliers and sport team leaders) and proven ability to work within a team environment.Budget Management - experience of creating, tracking and reporting on anisational skills - excellent planning, organising and prioritising of own workload and delegating work to munication - excellent communication skills (written and verbal).
