JOB TITLE: Operations Manager

BADGER REGION VOLLEYBALL ASSOCIATION
The Badger Region Volleyball Association is a membership organization whose mission is to promote initiatives for safe, structured and fun life-long volleyball experiences. As one of the 40 regions of USA Volleyball, our vision is to grow the number of players, coaches, officials, spectators and other volleyball enthusiasts, to provide the highest quality volleyball experience in education, training and competition and to provide advocacy, support, recognition and administration to the volleyball community.
GENERAL: This job description describes the general nature and level of work performed by employee assigned to this position. PURPOSE AND GENERAL DESCRIPTION
The Operations Manager is a salaried full-time position based out of the Badger Region Volleyball office in Pewaukee, Wis. The position provides a moderately flexible work schedule and will require some evening and weekend responsibilities, with prior notice. The individual hired will work under the direction of the Director of Operations and will assist the office staff and Board in providing services to the members of Badger Region.
REPORTING RELATIONSHIPS AND WORK ENVIRONMENT
• The Operations Manager will report to the Director of Operations and will work closely with the members of the Badger Region staff
• Assist with the supervision of independent contractors
• This position includes evening/weekend hours and some outdoor work
DUTIES AND RESPONSIBILITIES
Duties and responsibilities will include involvement in every facet of Region Management, but specific duties will include:
Member Services
• Monitor and aid in online registrations for 12,000+ Region members
• Point-of-contact for regional educational classes, including pre-event planning and registrations and post-event confirmations and certification of coaching, ref/scoring clinics and other clinics as required
• Process requests for facility sanctions and certificates of insurance
• Maintain online databases for various groups, including but not limited to Adult Team Reps, Junior Club Directors, Officials and Scorers
• Point of contact for the Official’s Division, including registration, clinics and work with the Region Official’s Assigner and Chair for other areas of administration
• Track and monitor certification for club directors, coaches, officials, and scorers
• Process all program registrations including, but not limited to: Impact Clinics, Ref/Score Clinics, High Performance Tryouts, Region Hosted Tournaments, CAP Clinics, WYVL etc.
• Point-of-contact for youth league (WYVL) to promote youth development. Duties include assist in preseason planning, manage registrations and monitor compliance, handle IMPACT clinic planning and registration, review rosters for proof of membership and other areas of administration.
Communications
• Involvement in updating the Region website and social media
• Handle phone and email requests for information and guidance
• Distribution of rule books, handbooks, guidebooks and decals
• Dissemination of current information from USAV to Team Reps and Junior Club Directors
Administration
• Serve as main or support administrator or organizer for various programs or areas of the region, including but not limited to the Officials Division and Tournaments, supporting main points of contact in record-keeping and organization.
Event Support
• Provide support pre-event, on-site and post-event for region hosted events including, but not limited to: Region Championships, Region Qualifier, Dale Rhode Memorial, beach events and camps and clinics as necessary.
Bookkeeping
• Assist Operations Director in financial areas where needed, including recording checks and deposits
Maintenance and upkeep of the Region office
• Aid in the physical upkeep and appearance of the office
• Maintain files and records, both electronic and hard copies
Badger Region Board of Directors Ex-Officio Member
• Attend quarterly board meetings with voice but no vote
• Record minutes and prepare for distribution.
Other responsibilities as required or requested by the Director of Operations and/or Board of Directors.

Job Requirements
• Understanding of the sport of volleyball
• Excellent organization and administrative skills
• A strong sense of commitment to the Badger Region Volleyball’s mission
• Ability to self-direct and work independently, organize time wisely, multi-task and problem solve
• Proficient with computers and knowledgeable in Microsoft Office Professional and the web for research
• Highly developed communications skills, both written and verbal
• Commitment to excellent customer service
• General knowledge of clerical office management
• Must be able to pass a USA Volleyball Background Screen and complete SafeSport education and certification.
• Commitment to high professional ethical standards
• Additional skills which would be helpful are experience in sports and tournament administration, simple accounting, marketing, IT skills and website management.
• Must have a valid driver’s license and current auto insurance, and be willing to use personal vehicle for work purposes (with mileage reimbursement).
Education and Experience
• Associate Degree with 1-2 years prior clerical and/or office management experience. Specialized training in social media and website development is desired but not required.
