Quick Start GuideLogging InWebex is available for Staff/Faculty at . Webex is available for Students at in using "msubillings\[Your Net ID]". If you are using Internet Explorer, you may omit the "msubillings\". When you log in, you may be prompted to install an Outlook add-on button. If you have Microsoft Outlook installed with Office (not Outlook Web Access), then you may choose to install the add on, which will launch and log in to WebEx automatically. Note: When joining a meeting hosted by someone else, you are not required to log in. Check the "Join a Meeting" section for more information.First Time SetupReturn to TopMobiles and Tablets only: Tablets and mobile phones running Android or iOS (like iPads) require installation of the Cisco WebEx app from the relevant app store. For desktops and laptops, follow the steps below.Go to "Meeting Center" and choose "Enter Room" on the Personal Room page to start a test meeting. If you have never used WebEx on your computer before, you will be prompted to install software. Windows Installation Steps: Click the "Download and Agree" button. You may be prompted to "Run or Save" the file, usually you can choose "Run". Mac Installation Steps: After you download the package, it will be saved in a folder on the computer. You will need to open the folder and double-click on the file inside to start the installation. After the package is installed on either Windows or Mac, you will briefly see a "Starting Webex" screen with a spinning wheel Your personal room will open, close the "Audio Connection" window and choose "Leave Room" Now WebEx is ready to use on your current browser. If you use it on another browser or computer, you may be prompted to download and install the software again. Scheduling A MeetingReturn to Top Go to "Meeting Center" and click "Host a Meeting" to show the menu options beneath it. Choose "Schedule a Meeting".Enter a Meeting Topic. For password, it will generate one automatically or you may create your own. Enter a date, time, and duration. If the meeting runs long, it will remain open until the host leaves or ends the meeting. Attendees can join via an email link or by visiting our WebEx page and entering the 9 digit meeting number. Note: Attendees are not required to log in to join a meeting. Enter the email addresses of your attendees. Check "Send a Copy of Invitation to Me" to have a copy of the email invitation sent to your MSUB email. You may need to forward it later. To finish, click "Schedule Meeting". It is now scheduled. You can return to the Meeting Center at the time of the meeting to start it, or choose "Start" if you need to enter the meeting immediately. Scheduling a Meeting on Behalf of Someone ElseDelgation allows one WebEx user to become a delegate for another WebEx user for the purposes of scheduling meetings on one's behalf. This is a two step process that involves some action from both users.The person being scheduled on behalf of needs to add the scheduler as a delegate The person scheduling the meeting can then choose to schedule on behalf of him/her Adding a delegate?Add a delegate to WebEx if you plan on having an assistant or someone else handle the scheduling of your WebEx meetings or Events 1. Log in to WebEx at 2. Click the My WebEx tab.3. Click My Profile on the left hand side.4. Click on Preferences on the right hand side.5. Expand Scheduling Options.6. In the Scheduling Permission section type the email address of the person whom you'd like to be able to setup meetings on your behalf and then click Save.Creating a meeting on behalf of another person 1. Log in to WebEx at 2. Click the Meeting Center tab.3. Click on Schedule a Meeting on the left hand side.4. Click the Advanced Scheduler link in the middle of the screen.5. In the dropdown box labeled: Schedule For:, choose the person you'd like to schedule a meeting for 6. Proceed with the meeting setup as normal ?Running Your MeetingReturn to Top When your meeting begins, you must first choose an audio source. If you have a computer microphone and speakers or headphones, you can choose "Call using Computer". Note: You must have a consistent and reliable internet connection to for this to work correctly. To test the audio, click "..." or "More" on the bottom of the Connect Audio button.This will display two volume meters and sliders. The top is output volume for your speakers, the second is input volume meter and slider for your microphone. When sound is played or received, it will light up the meter bars for "Speaker" and "Microphone", respectively. To use a standard telephone for audio, choose "I Will Call In". This is usually the easier option, depending on your phone carrier's quality of service. To invite additional people to the meeting, click "Invite & Remind", enter the email address(es) of invitees and click "Send". Send will not light up unless there is at least one valid email address entered. To show your screen to participants, click "Share Screen". The meeting center window disappears and the controls for the meeting move to a toolbar at the top of your screen. Once shared, you can use the "Annotate" button to markup your screen. The annotate toolbar appears to the left, you can create shapes, text, or draw freehand. While shared participants will see your screen inside the WebEx window. Webex controls and non-shared applications the host sees will be visible as a grey-patterned section, like the vertical bar to the left in the following image. They can return to the standard view by clicking on the "Quick Start" tab at the top. To stop sharing your screen, click "Stop Sharing" on the top toolbar. The Participants window in the upper right allows you to toggle video, mute, and set the presenter of the meeting. To start a live video feed, the host or participants can click the camera icon to the right of their name. Your feed will show in the lower right corner. Press the camera button to stop the video if needed. Joining a MeetingReturn to Top The simplest way to join a meeting is by using the link in the email invitation. Click "Join Webex meeting" in your invitation. To identify yourself, type your name and email address. Click "Join" to begin.You can also join by entering the nine-digit meeting number and then the password. Emailing does NOT send the recording file itself.To convert your recording to a normal video file like mp4, it must be saved on your computer first.Click the "..." then "Download" to save the file on your computerChoose "Save" or "Save file" when promptedLocate the downloaded "ARF" file on your computer and double-click to open it.This launches the Network Recording Player. To convert it to a standard video, go to "File" and choose "Convert Format"It will prompt you to install the Conversion tool. It is a one-time installation. You may be prompted to log in.As shown, enter "msubillings." for Site URL and your Net ID if it is not already filled in.Click "continue" when the installation is completeThat will take you to conversion options. "Panels" will control which parts of the WebEx window are in the resulting video. Click "OK" when you've selected the options you need.The video will be stored in the folder you specified in "Save as" near the top. Depending on the recording length and Quality setting, it may take several minutes. ................
