Sample Employee Comp Time Guidelines
INSTRUCTIONS
Comp Time Guidelines are established by a supervisor and should be consistently applied for each full-time board approved employee.
Comp Time Guidelines may vary by department according to the unique department needs. However, all departments must follow FLSA guidelines which require overtime or comp time for all hours worked over 40 in a given work week.
Work weeks at Maricopa run Saturday through Friday.
Below is a sample set of comp time guidelines for an office based on PSA policy.
As a supervisor, please feel free to revise these guidelines according to your department practice, needs, and employees.
Prior to publishing your guidelines or reviewing them with employees, please have your guidelines approved by MCC Human Resources.
Having guidelines in place provides greater clarity of supervisor expectations.
An employee must receive comp time for hours worked over 40 regardless of if they were approved or not. However, when an employee does not follow the published guidelines, corrective action up to and including termination can be taken.

Guidelines for the Use and Accrual of Comp Time
For Non-Exempt Employees
Beginning DATE, the following guidelines and procedures will be effective:
1. Working beyond 40 hours a week in a given work week (Saturday to Friday) results in the accrual of comp time earned hours.
2. Full time PSA employees working beyond 40 hours in a week must be approved in writing in advance by the Director as per Section 3.H.1 of the PSA Policy Manual.
3. Once working beyond 40 hours has been approved, the hours beyond 40 should be recorded in Time and Labor during the pay period for which they were worked as comp time earned.
4. The employee is responsible for tracking his/her own work hours to ensure that 40 hours are not exceeded.
5. Once comp time hours have been accrued, use of comp time accruals is at the discretion of the Director. To request the use of comp time hours, a written note needs to be submitted to the Director with the purpose, the dates and the total number of hours requested.
6. Comp time hours must be taken within 90 days to avoid premium payments per Section 3.H.9 of the PSA Policy Manual in order to assist the department in working within budget. A supervisor may schedule time off for an employee using comp time hours in order to avoid overtime payments.
