(Australian Cardiovascular Health and Rehabilitation Association) is the peak body which provides support and advocacy for multidisciplinary health professionals to deliver evidence-based best practice across the continuum of cardiovascular care. Their aim is to empower health professionals to achieve optimal and equitable outcomes for all affected by cardiovascular disease. ACRA also constraints with the strategic environment that they operate in, which are noted on the website (). Mottochallenge ... change ... achieve ...Strategic PlanThe Board finalised its Strategic Plan in October 2015 at the face-to-face Board Meeting following the AGM. This is something that will be continually reviewed and updated by the Board and the current President – Lis Neubeck.ACRA is currently focusing on expanding internationally as well as having a more business and professional focus and feel. Lis is very passionate about this and as she is in her first year as President, she is making this a significant focus. Policy and Procedure ManualACRA have a ‘Policy and Procedure Manual’ in place that dictates what each Board Member is responsible for and how certain tasks are to be performed. The ACRA ‘P&P Manual’ was finalised at the May 2016 face-to-face Board Meeting and is available on the P drive here as well as uploaded to the ACRA drop box account. ConstitutionACRA is an incorporated association with a Constitution noting the rules they operate by. The Constitution was reviewed in October 2015 with the membership year being changed from anniversary to a financial year. Another review will likely be completed in May 2016 for the AGM in August 2016 for the terms of the Vice President to be reviewed. All changes to the Constitution must happen during a General Meeting with all members offered the opportunity to attend and be notified of the changes. The current Constitution is yet to be sent by the Secretary – Kim ernment Reporting RequirementsACRA are registered with Consumer Affairs Victoria. The Secretary will complete all annual reporting requirements with Consumer Affairs Victoria directly. Some support may be required by the Secretariat and follow-up should be sent directly following the Conference as constitution updates are required within 28 days and the AGM minutes and financials are to be submitted within 1 month.The Australian Securities and Investments Commission (ASIC) also require a submission of financial statements by the 31st March the following year of the AGM. ASIC will send information directly to the organisation with the annual statements that are to be completed: is set-up as a National Association and then separate State Associations, which fall under the ACRA brand. Therefore, the National and State Associations have their own ABN. ACRA will need to pay the registration fee of $600 by 7 January 2017. However, ACRA’s Trade Mark Application will now be advertised in the Australian Official Journal of Trade Marks on 7 July 2016. Other people have 2 months from the advertisement date within which to oppose registration of ACRA’s trade mark. Below are the main enquiries that will be received:How do I renew my membership?Membership is renewed through Currinda. Provide them with their log-in details and ask if they would like their password reset. Some people have a number of Currinda profiles, or create a new one if they are unable to access it on their first attempt. This will need to be checked and merged if it is the case.Offer to take payment of their membership over the phone, as a number of the members are older and have difficulties with the Currinda process.Why are my membership fees varied? At the 2015 ACRA AGM a special resolution was passed to change the membership year from an anniversary year to a financial year. The process and costs were finalised by the Board in November 2015 and rolled out to members in December 2015. This will be a 2 year transition period with members receiving pro-rata membership for the period up until 30 June 2016 and July 2017 respective of their membership renewal dates. (Further details can be found in the Membership section.)It will need to be explained that the pro-rata amount is $10 per month, which is calculated against the number of months until the financial year renewal. They will then renew for the months until the financial year, and then renew again – some members will have 2 renewals in 2015/16.I joined at a State/National event; do I have to pay the joining fee?ACRA waives the joining fee for new members that join at State or National events. Each State has copies of the hardcopy membership forms, or members are directed to the Currinda page to join as members. Payments are made on a monthly basis, generally the first or second week of the month in line with the finances being completed. All invoices are printed and entered into a payment trail, which is saved in Finance\2016\Payment Trail. Once all details have been entered, a copy of the payment trail is printed and placed at the front of the finance folder. The invoices are scanned and saved to Finance\2016\Invoices, and then placed in the front of the finance folder.Once this has been completed the payment trail and invoices are emailed to the President, Lis Neubeck, and Treasurer, Natalie Simpson, to request authorisation of payments. The payment trail and invoices are also uploaded onto the ACRA Treasurer Drop box folder. Once an email has been received (only needs to be 1 person) then the payments can be made in full online through Westpac. State CapitationsACRA arranges payment of state capitations 4 times a year – usually the month following the end of the previous quarter. ReportingFinancial statements should be completed by the end of the last week at the latest. Although ACRA rarely have Board meetings, it is important they have the finances early in the month. Once completed, these should be sent to the President and Treasurer and also uploaded to the ACRA Treasurer Drop box folder. Further to that, download the bank statement from Westpac and upload it as well. BAS ReportTAS completes the BAS report and submissions on behalf of ACRA.Annual AuditACRA are not required to complete an audit, however from time-to-time they will request to do one. The 2014/15 audit was completed through Tinworth & CO, the contact details are below:Email: rodlaws@Phone number: 02 9922 4644Due to its financial situation, ACRA decided not to complete an audit of its 2015/16 financial accounts.InsuranceACRA has Public and Products Liability Insurance, which covers all members and State Associations through National Underwriting Agencies based in Queensland. The insurance is renewed in June each year, with the current insurance policy expiring on 01/06/2017. A copy of the current policy can be found in Governance\Insurance\Insurance Policy 2016_17The company will be in contact with you at the beginning of May each year reminding you of the renewal. They will send through the details submitted for the previous year, which will need to be checked and sent to the President and Treasurer for review and sign off. BOARD/COMMITTEE MANAGEMENTBoard/Committee MembersThe ACRA Board is currently in place until the next AGM in August 2016. All Board members and contact details can be found here Administration\TAS Contact Lists. These details will also need to be maintained on the website () and updated when changed. When updating the information on the website, an image will also need to be uploaded, this can be sourced from the Newsletter Editor.Each State Association will hold their own AGM each year, where new State Board members will be elected. The names of these people will be provided by the President/ Secretary following the meeting. They will need to be maintained in a document which can be found here Administration\TAS Contact Lists and on the website . Board/Committee MeetingsAs per the Constitution the ACRA Board are to meet 4 times per year. This is generally broken into 2 face-to-face meetings alternating between Sydney and Melbourne in May and November each year, and 2 teleconference meetings in March and August (following the AGM). The Secretariat has minimal involvement in the Board meetings, however you will assist with the booking of venue, accommodation and flights (only reimbursements as flights are to be booked by Board Members directly), final review of the Agenda with the President and provide a Secretariat report on the membership and brief financial overview. Both face-to-face Board Meetings will be held at the Rydges Sydney Airport Hotel. The second meeting will take place on 19 & 20 November 2016. Closer to date, the Secretariat will need to confirm room bookings and menu selection. The reports provided by the Secretariat are very simple and examples of past reports can be found here Meetings\Board of Directors\2016\May Face-to-Face. The President will ask for feedback on the Agenda prior to it being finalised. This will be kept on the Drop box account and you will have editing rights. The next conference is scheduled for 1-3 August 2016 in Adelaide. The 2016 AGM will take place on Wednesday, 3 August 2016.The Secretariat usually formats and proofs the documents and will circulate on behalf of the Committee. These will be sent directly from the Secretary, however it is suggested to touch base with the Secretary 2 months prior to when the papers need to be circulated. As per the Constitution the notice of AGM and AGM papers are to be circulated 28 days prior to the meeting. Nominations should be called for 2 months prior to the meeting and close 1 week prior to the AGM.MEMBERSHIP MANAGEMENTMembership Categories and Current PricingACRA has 3 types of membership which are individual, departmental and lifetime. Details of the membership categories and prices are below:Individual Member – for individuals that work within allied health and cardiovascular health and rehabilitation. Departmental Member – offered to Allied Health departments who have a position dedicated to working with chronic disease management programs or cardiac rehabilitation programs in a temporary or part-time capacity. This membership will remain with the department not with the staff member.Lifetime Member – awarded to individuals who have been awarded as Alan Globe Distinguished Service Award, and as directed by the President.The 2016/17 membership fees are below:Membership TypeNew MemberRenewing MemberIndividual $165 ($125 + $40 joining fee)$125Departmental$165 ($125 + $40 joining fee)$125People that join ACRA due to attendance at an event will have the $40 joining fee waived. The President or Secretary will note this, or the member will also state this on the membership form. *NOTE: ACRA Board have the ability to increase the membership fee by $5 each year, without a special resolution at the AGM. As of 1 July 2016 the ACRA Membership fees will be increased by $5 totalling $125 per annum. Members were notified of this in December 2015, the letter circulated is here..\..\..\Membership\ACRA Membership Fee Letter.pdf.New Member ApplicationsNew members can either join online via Currinda and create their own account, or they can complete a hard copy membership application form ..\..\..\Membership\Applications\ACRA Membership Application Form.pdf, which is sent to the Secretariat to process. The PDF form is also available on the ACRA website here. Generally those members who have joined at an event will complete a hard copy form and they will be sent in bulk from the event organiser or they will be faxed by the individual.The Secretariat is responsible for ensuring the membership form is completed in full and the new member has answered the relevant questions and meets the criteria to be a member. If the application is satisfactory it will be endorsed and the invoice will be sent to the member. The invoice will be sent via Currinda by using the ‘Welcome Email’-template. Once the invoice has been paid, each new member is to be sent an ACRA USB with the following documents included: Membership\New Member Packs\Documents for USB, as well the latest copy of the ACRA Newsletter and any recent slideshows and presentations from State-based events.There is a tracking spreadsheet set up for all new members and their USBs.Membership RenewalsMembership renewals are to be completed via Currinda. Membership renewal notices (and reminders) have been set up on Currinda to fast track the process. Renewals were issued until 30 June 2017. Members whose expiry date falls into the last six months of 2016, have their invoice discounted as per the pro rata letter issued in December 2015. Once the final reminder has been sent, all ACRA members will be aligned to a financial year membership. There will be no need to pro rate any invoices anymore. In the case that the member requests a refund, they should provide an explanation in writing which will be sent to the President and Membership Chair, Paul Camp, for review and decision.In the case that the member sends an email noting their resignation or cancellation, it should be recorded on their membership profile. Further to that, tick ‘unsubscribes’ and ‘cancel’ on the membership profile. Membership ReportsAt the beginning of each month the Secretariat is to pull a membership report that is formatted and sent to the State Associations. The report should be pulled from Currinda, including all financial and expired members and all membership categories (no expiry date can be entered as the mailing list only members will not show) on the first business day of the month.Once the reports have been pulled, they will need to be broken down into State Associations and presented in the following format State Chapters\NSW-ACT\Membership Reports. Once completed, it is sent to the State Association President and Secretary. A detailed overview of how to complete the task can be found here.State CapitationACRA provide a payment of $25 to each State Association for new and renewing members. This is to ensure that the State Associations are able to continue operations and education programs. The State Capitation is provided to the States on a quarterly basis, in line with the pay runs on April, July, October and January. A membership report will need to be pulled from Currinda noting the financial members and the dates that they were renewed. However, on the coding of monthly financials any membership payment will require the State to be recorded as the bookkeepers automatically place $25 into a liability account for each State. Quarterly payments will need to be maintained even when a financial membership year has been established for new members. An example of the State Capitation Report can be found here State Chapters\State Capitation.EVENTSNational EventsACRA run one National Event a year which is the Annual Scientific Meeting (ASM). This is managed by TAS and Peta Freeman is the event manager. They will run their registration through Currinda and you may be asked from time-to-time by Board members on the registrations. Any enquiries that come through just pop them to Peta.State EventsPreviously the Secretariat was responsible for setting up the Currinda registration process for events and circulating emails on behalf of the State Chapters. They are currently reviewing their processes with some States opting to use different systems, which will be managed entirely by them. Throughout this process the Secretariat will be required to upload information to the ACRA website and circulate information to members as requested by the State. The Event Calendar plugin is to be used for any new state event. In the case that a State requests an event to be uploaded to Currinda, a draft form was endorsed at the November 2015 Board meeting. The Board provided input to the form to ensure they were comfortable with what they needed to complete, and TAS were receiving all of the information required. The form can be found here. The process for events set-up for States is as follows:State completed the Events Registration Set-up Form in fullSecretariat reviews and clarifies any areas of concernCurrinda Event is set-up and testedEvent is set-up on the website. It will feature on the Events Page, and then have another page with full details.Draft Email for circulation of event details to members, sent to State for reviewOnce endorsed this is sent to the relevant membersClarify the marketing schedule with the StatesIMPORTANT: The new ACRA contract does not automatically include event registration set-up, so you will need to seek approval from the President before any work can commence (this excludes upload of details onto the ACRA website and mail out of promotional materials as it is covered by the contract). WebinarsIn 2015 ACRA ran a series of webinars. Each State would host the webinar, which would be available to all ACRA members and non-members and registrations were managed through Currinda. The Secretariat completed the entire liaison between Redback and the States.In 2016, CRA NSW/ACR & QCRA run webinars in May. Both webinars were organised by the states itself. ACRA was only in charge of uploading the webinar recordings onto the Vimeo page of the ACRA Member Lounge. She will set-up outlook reminders for all relevant people in advance and include the Secretariat. Prior the Annual Conference, inform the TAS Event Manager so they can prepare any promotional information to boost registrations. Since 2016, ACRA decided to use the services of Mulqueen Printers again who charge $792 (incl. GST) per newsletter edition. Sue will liaise directly with Mulqueen during the whole period. Once the newsletter has been completed, Sue will send the final PDF document to the Secretariat asking for it to be uploaded onto the ACRA Member Lounge. Although we informed Sue that TAS would proof read the document before circulation, she requested for it not to be done as it has been proofed by her and Mulqueen. However, whenever she sends the newest edition, seek approval that it can be circulated without TAS proof reading procedure. Once the newsletter is uploaded to the ACRA Member Lounge, an email will be sent to all current ACRA members. In order to get an idea of the opening rate, a read receipt will need to be set up before circulation.
