HillDate: 4.2018Department: PharmacyHR Approval: K.SawyerDate: 4.2018JOB SUMMARYThe Pharmacy Technical Supervisor is responsible for actively supervising the technical personnel and assisting the Pharmacy Manager or Director with the administration and oversight of pharmacy services. With guidance from the Pharmacy Manager or Director, the Pharmacy Technical Supervisor will perform personnel management activities of pharmacy technicians, coordinate department operations and services, lead customer service and performance improvement initiatives, develop and implement policies and procedures, and assist with department financial management activities. The Pharmacy Technical Supervisor is expected to demonstrate effectiveness as a leader and as a role model through efficient time management, effective organization of work and prioritization. MAJOR RESPONSIBILITIESPersonnel ManagementDevelop and update position descriptions.Work with human resources to post vacant positions.Interview potential candidates using behavioral interviewing techniques per established hospital hiring practices.Provide specific hiring decision input to managers and human resources.Work with human resources to assure job offers or decisions not to hire are effectively communicated to applicants.Develop and coordinate staff training schedules and department training and competency assessment systems.Conduct follow-up to ensure training/orientation checklists and associated records are complete, giving feedback to trainee or trainer and scheduling retraining as required.Maintain and coordinate technician competency assessment systems. Establish employee performance goals that are consistent with department goals.Prepare and deliver performance appraisals.Prepare draft staff performance appraisals for manager or director review.Incorporate manager input as directed.Schedule performance appraisal meetings with staff.Deliver performance appraisals to staff after appraisal is approved by manager or director (managers will participate as needed to address complex issues and for any employee who may be placed on a corrective action plan).Submit final performance appraisals to human resources.Coordinate staff performance improvement and corrective action/disciplinary actions.Discuss possible investigation or corrective action/discipline with manager when need to take action is suspected.Perform investigations as directed by manager, director, and/or human resources.Recommend disciplinary action and prepare letters for review and issuance. Maintain detailed records.Coordinate all related communications with manager, director, and human resources.Coordinate payroll activities for employees.Assume coverage of weekday technician sick call service for assigned areas as outlined in the Management of Technician Sick Call Policy.Department operations and servicesProvide supervision of day-to-day operations in the capacity of an “on-line technician supervisor”.Maintain visible supervision of all technician activities within pharmacy operations. Provide on call support to facilitate operational and personnel issues. Assist with new staff orientation and provide direct training support.Oversee purchasing and product selection activities.Assist manager or director in making professional and judgmental decisions relating to inventory management.Provide direction to technicians for which products to remove or add to inventory.Direct technicians to assist in attainment of out of stock items from other inventory locations.Work with technicians and pharmacists to implement and monitor progress of departmental inventory management goals.Work with technicians to ensure outdated products are removed from inventory.Work with technicians on order/prescription processing.Oversee product preparation.Instruct technicians on technical activities including product packaging, labeling, and filling of prescriptions.Provide training and oversight of sterile preparation methods.Ensure competency in repackaging calculations. Direct technicians in responsibilities of product distribution.Work with technicians to ensure regular billing services occur for pharmacy products and services.Provide oversight of controlled substance systems.Develop and coordinate staff work schedules to effectively manage day-to-day operations.Update online schedule with all approved changes.Oversee employee request off system and provide timely feedback to employees.Arrange for coverage of staff’s unscheduled absences.Determine alternative coverage option.Oversee supply management and ordering systems.Direct technicians to maintain supply of departmental forms.Perform other department leadership activities and projects as assigned by managers.Project management and problem solvingSolve problems through critical evaluation of data-based information and continuous improvement efforts that lead to effective quality-based outcomes.Identify and diagnose problems, identify alternatives, implement plans, evaluate and communicate results, implement system improvements.Coordinate routine audits for systems improvement.Lead projects as assigned, assuring project completion within assigned deadlines.Customer service, marketing and performance improvementDevelop customer service standards and assure systems are in place to measure customer satisfaction with pharmacy services.Establish and accomplish quality assurance and performance improvement goals in areas of responsibility.Ensure that regular quality assurance audits occur.Ensure that routine unit inspection audits are performed and properly documented in a timely manner.Coordinate student and department visitor tours and learning experiences.Demonstrate good interpersonal skills with all individuals including other hospital staff, visitors, patients and their family members.Develop and implement department policies and proceduresPrepare new policies and operating procedures as necessary.Maintain all assigned policies and procedures in an up-to-date, accurate municate initial training of new policies and procedures to staff.Assure appropriate procedures are maintained in operation manuals and/or on the department internal web.Assist with financial management and work analysis activitiesEstablish and achieve cost-reduction and/or revenue increasing goals.Develop systems to improve staff productivity and workload efficiency.Participate in annual operating and capital equipment budget preparation.Investigate and resolve any complaints from customers or other departments about pharmacy billing issues.Team leadership and committee participationParticipate on department and multidisciplinary committees.Lead or chair department committees and performance improvement teams.Represent technician viewpoints at department meetings.Coordinate routine staff/team meetings, preparing and distributing meeting agendas and minutes in a timely manner.Demonstrate commitment to quality and service excellence in all actions as well as written and verbal communications.Read and respond to email in a timely manner.ALL DUTIES AND REQUIREMENTS MUST BE PERFORMED CONSISTENT WITH THE UW HEALTH PERFORMANCE STANDARDS.JOB REQUIREMENTSEducationMinimumHigh School Diploma or equivalentPreferredBaccalaureate degree or an equivalent combination of education and/or experience Work ExperienceMinimum Three (3) years management experience, or three (3) years work experience involving drug preparation and dispensing, sterile product preparation, inventory control, quality assurance and improvement, teaching, training, and pharmacy computer systems.One (1) year of leadership experience.PreferredLicenses & CertificationsMinimum PreferredPharmacy Technician CertificationRequired Skills, Knowledge, and AbilitiesBasic mathematic abilityAbility to supervise and manage peopleTime and task management, prioritization, and organizational skillCommunication skills (both verbal and written).Ability to operate computers (preferably using Microsoft Office and other Windows-based programs).
