Executive Meeting Minutes

1 July 2019

Call to Order: Commander Willis Gray called meeting to order at 7:15 PM at Bobby j’s,

Welcome Remarks: Commander Willis Gray III welcomed all executive members present.

Reading of Last Meeting’s Minutes: David Kottwitz moved to not to read the minutes from the previous meeting and approve them as written. Mike Gilmour 2nd the motion and unanimously approved.

Committees Reports:

Sgt-at-Arms/Welcome Committee: Mark Ochoa Jr.had to work. Commander Gray welcomed all in attendance and reminded everyone to make sure their cell phones are set to the silent mode or turn them off as to not interfere with the meeting.

Membership: There were no changes to the Department membership report.

2. Post will have a WAA and membership booth at the Helotes Independence Day celebration on 3 July from 4 PM until fireworks.

Adjutant/Public Relations/Resolutions:

1. Reminded officers to encourage members to sign-up for and the legion life insurance included in their membership.

2. Need to remind members of the $10 discount for those members who renew 2yrs. Members renewing 2019-2020 and 2020-2021 will pay $72 instead of $82. They will also be entered in the respesctive early bird drawings. This incentive is scheduled to be discontinued at the September membership meeting.

3. Post Certification form and updated Certification Eligibility for Officers were mailed to Department on 27 June. The update was to include executive member Karen Stark.

4. Received letter from the Auxiliary secretary asking us to share the mailing addresses of the post members to invite the spouses to join the Auxiliary Unit 309. There was no objection at the Executive or Membership meetings in June but it was suggested that an email be sent to the rest of the membership. Adjutant will send an email notifying the members of the request with an RSVP date of 15 July to get their input. Results will be brought up at the 17 July membership meeting and a copy of membership roster with mailing address will be given to the Auxiliary Unit 309 minus members who reply against sharing their address.

5. Renewal for 2020 via National Webpage also offers the option of PUFL or auto renewal. Need member number, last name, select PUFL or 2020 dues. If you select 2020 dues it will give you the option to do autopay every year. Provide your credit card information and you are done.

Finance Report: We are still having problems filing our first IRS form 990 due 15 May. The IRS has not processed National’s request to add Post 309 to the group 501c19 tax excemption. For continuity purpose Dave Kottwitz will continue attempting to file the form 990 with the IRS. N’De Narvaez completed BBVA’s paperwork and now has access to the account. David Kottwitz turned in his BBVA debit card and no longer has access to the account. N’De Narvaez gave the following financial report:

N’De Narvaez moved to approve the finance report. David Kottwitz 2nd the motion and passed unanimously.

N’De Narvaez presented her draft of the 2019-2020 budget for officers to review and provide input.

Service/VA&R/ROTC: Department Service Officer James Pospisil continues to work on 4 VA cases on behalf of Post 309.

Historian/Hubmaster: Adjutant reported on behalf of the Hubmaster. Reminded officers of the Post email address, facebook and webpage urls. He also mentioned that a new webpage has been created and some of the executive members have been doing a test run. Hopefully the invitation to all members will be sent mid-July or early August. Work still needs to be done on the webpage specially on how to archive the agendas and minutes.

Legion Riders: New director informed that recycling effort is still going on and to bring cans for recycle to the meetings. Riders plan at least two fundraisers this year probably at Fuddruckers and Panda Express. Two ALR 309 riders participated in the 2019 Texas Lonestar Legacy Run. The new director joined them for part of the first day’s ride and also attended the State ALR Rally at Elm Mott. The 2020 Texas Lonestar Legacy Run will be at Post 241 in Lake Texoma. Eventhough this is mainly a Riders event Post members are invited to participate in both the Legacy Run and the ALR Rally.

Auxiliary Unit: Pending mailing list reply. NTR.

Sons of The American Legion: Will be asking post members to sign-up for dual membership and once the Squadron is up and running concentrate in looking for more members. Dues will be set at $10 for members 18 years or older and free for younger than 18. DD214 or other document confirming eligibility will be required to confirm membership. Mike Gilmour, Jaime Caratini and Carlos Vela (chairman) will be the SAL organizing committee. Commander Gray already turned in his SAL membership application. Jaime Caratini and Raul Narvaez are having problems getting their deceased fathers’ DD214 or dates of service. Jaime Caratini suggested that the grave site should be acceptable until such time as they can get the DD214 or dates of service.

Unfinished Business:

a. John Hafner will try to contact Cmdr Alford regarding the information we need for the dedication.

b. Commander Gray looking for a free window in his schedule to beging assessing necessary repairs and cost. Jaime Caratini met an Alamo Cycle Plex representative at a Fisher House 4th of July event. He metioned that the owner is supportive of military and veterans.

c. Certificates for sponsored Boys to Boys State are ready to be presented to them at the next membership meeting.

d. Still waiting for Luby’s corporate to process reciepts and issue a check.

e. Flag order approved at membership meeting still waiting to be sent.

New Business:

a. WAA/Membership booth will be at Helotes Market Day in August.

b. Fuddruckers fundraiser is set for 31 July from 4 to 9 PM.

c. Other fundraiser still need to be worked on. (Walmart, HEB and Food Plate Sale) Commander Gray will be coordinating with Mr. Romo at Walmart. He also submitted the W9 at HEB and is waiting for their response. He also needs to tatlk with Oscar Fabela for the chicken food plate and a freezer to store the chicken.

d. N’De Narvaez has the list of female hygiene items for homeless female veterans from Woman Veterans of San Antonio American G.I Standown. to be collected from now until November. Adjutant will send email with the information and post it in the new Post 309 webpage.

e. The Buddy Check program is now a formal National resolution encouraging all post to check on their members at least twice a year. Suggested date are the Legion anniversary and Veterans day.

f. 2020 renewal for David Kottwitz and Louis Cardenas will be sent on 2 July.

a. 3 July – Independence Day celebration in Helotes. Bring your own chair. Jaime Caratini will bring cooler with refreshments and membership items, N’De Narvaez and Raul Narvaez Jr. will bring the tent and WAA items. Color Guard to post Colors at 8PM.

b. 4 July – Independence Day HOA activity cancelled.

c. 31 July – Fuddruckers Fundraiser 4-9 PM
