Office Administrator

|Job Title: Office Administrator |

|Location: PLUS Office |

|Salary: £8.75ph (Living Wage - £9.30 from April 2020), 24 hours per week |

|Accountable to: Programme Manager |

|JOB PURPOSE |

|To undertake relevant administration in relation to the delivery of the services and projects at PLUS. This includes liaising with families, |

|staff and volunteers, and clearly communicating organisational requirements. |

|PRINCIPAL RESPONSIBILITIES |

|Administration |

|Support PLUS through administrative tasks, which include but is not limited to answering telephones, preparing mailings, greeting visitors and |

|filing paperwork |

|Undertake regular updates to the electronic files for staff and young people |

|Contribute to maintaining accurate records of information with regards to young people, staff and partner agencies |

|Prepare detailed records of tasks carried out and an accurate hand over report for colleagues |

|Planning and Service Delivery |

|Organise activities including the booking process for families, arranging transport if required and the allocation and confirmation of staff |

|Communicate efficiently with families and staff regarding activities taking place |

|Share up to date information with sessional workers via the staff forum and other means of communication |

| |

|Health and Safety |

|Act as a Fire Warden for PLUS, undertaking the relevant training to do so |

|Reporting any Health and Safety issues to the relevant manager |

| |

|General |

|Understand and adhere to PLUS policies and procedures, and promote their use by all staff |

|Attend team and individual meetings with colleagues and managers |

|Maintain a positive relationship with children, young people, family members and colleagues |

|Undertake and other duties seen as appropriate by PLUS Managers |

|SPECIAL FEATURES/ADDITIONAL DUTIES |

|You may be required to act as the company First Aid Officer and maintain supplies within First Aid kits |
