User Guide

Before parents can login to the Poland Central School District schooltool Parent Portal, the following criteria are needed:

➢ Valid email address

➢ Completed Parent Portal Access Application returned to Poland Central School and signed in the presence of a clerical employee of the Poland District.

➢ Internet Access

➢ Access to email, where the initial password email will be sent

Once parents have returned the Parent Portal Consent Form to the Poland Central School and signed the form in the presence of a clerical employee of the Poland Central School District, they will receive notification in their email that their account has been created with a generic password to login to schooltool.

EXAMPLE:

“A new Poland Central School District schooltool account and password have been generated for your use. Please login to .” This is Poland Central School’s web page. In the upper right hand corner under the Search function, click on the Parent Portal icon. This will bring the parent to the schooltool web page where they will enter their complete email address as their username and the encrypted password. (This password is computer generated and is sent to the parent within a few days of signing up for Parent Portal. They should also monitor their spam as well as their regular email for their password.)

Once they have logged in, they may use the “Accounts” tab at any time to see their last login time and to change their password.

If the parent feels this account was created in error or if the parent has any problems with their account, please contact the School District’s parent portal manager at parentportal@ .

Criteria for your password:

Minimum Length: 8

Requires Upper Case Letters

Requires Lower Case Letters

Requires Numbers

Step 1: The parent logs into their email account. They will see an email from schooltool in the inbox.

Step 2: The parent will click on the email and open it. There will be a message containing how to login to schooltool in the body of the email. This message should contain the schooltool url, and the password to login with.

Step 3: From the schooltool login page, the parent will type in their user name, which is their entire email address. For Example: testparent@. Then, they will type in the password that was in the email. For Example: DogCaT127. Then click on “Login”.

Step 4: The parent is then encouraged to click on the “Account” tab to change the password to a password they will remember. Once a new password is entered, the parent will use the new password they created to login.

Step 5: By clicking on the Students tab, the parent will go back to the Home Screen.

Step 6: From the Home Screen, the parent can click on the child’s record that they want to view by clicking on the blue triangle.

Step 7: Once the parent clicks on the blue triangle, the child’s Personal Information screen will display. From this screen, they can click on any of the tabs listed to view their child’s educational records.

Step 8: By clicking on the Schedule tab, the parent can view the child’s current schedule.

Step 9: By clicking on the Attendance tab, the parent can view current attendance and history by changing the School year. They can view daily attendance, all course attendance and missed course attendance.

Step 10: By clicking on the Discipline tab, the parent can view the current School year discipline referrals as well as have access to history for their child.

Step 11: When the parent clicks on the grades tab, they have access to all current and historical information.

They can access historical information from fifth grade on for marking period grades, progress report grades, final averages, and assessments Ex. local exam and Regents Exams.

When they select the current year, they can view progress report and marking period grades usually the day after the progress reports and report cards are mailed.

Step 12: When the parent clicks on the Assessments tab they can view all information pertaining to the State Assessments from third grade through eighth grade.

Step 13: The Assignment Tab allows the parent to view information on their child’s assignments. They can select individual courses or view all courses.

The Max Score is the maximum score a child can earn on assignments, quizzes, or tests. The Student Score is the actual score the child has earned.

Step 14: Once the parent has finished reviewing the record and wants to log out of schooltool, or view another one of their children’s record, click on the green done arrow in the top right corner of the Personal Information screen to return to the Home screen.

Step 9: To log out, click on the Logout tab in the top left corner of the screen.

What do I do if I have difficulty logging in.

*If the parent forgets their password, they will type in their user name, click on Login, and then click on the blue hyperlink “New User” or “Forgot Password”. A new window will prompt the parent to re-type their user name (entire email address) and click on submit.

A password will then be generated through schooltool and sent to the parent’s email. The parent will open the email and begin the process of logging in again.

Please note: If the parent continues to have difficulty logging in with the new password sent via email, the parent will need to contact the Parent Portal Account Manager at the school district. The Parent Portal Manager will then request a new password for the parent.

If the parent types in the wrong password five (5) times consecutively, they will receive a message in red “Your account has been locked”. The parent will need to contact the Parent Portal Account Manager at the school district to either unlock the account (if the parent knows their password but just typed it in wrong) or request another password.
