Minutes of Committee Meeting held at the offices of Yachting Victoria

OPENING:

The Chairman welcomed all and declared the meeting open as 19:35. Mark especially welcomed Andrew Mackenzie, representing the Ultimate Association.

He requested all present to sign the attendance sheet and amend where necessary.

6. BUSINESS ARISING FROM CORRESPONDENCE

▪ Rob Ballard to ensure that all TYD reps receive emails from YV/YA eg newsletters

▪ It was resolved that the YV Committee Reporting Document be used as a model for future reporting on TYD activities..

▪ Major events request to Clubs and Associations. Version 1 of Major Events Calendar circulated. Action: Rob Ballard to distribute to all TY Clubs and Associations and forward to Rob Milner for publishing on website.

▪ Ron Parker proposed that the TYD conduct a Trailable yacht Traveller Series using a selection of races published on the Major Events calendar. It was moved by Ron and seconded by Colin Orchard that the TYD should write to GLYC (Vic Champs), MTYC (Four Points race), AWYC (Rose Festival or .725 race) and BYS, SBSC and MYC (Martha Cove race) to conduct such a series and discuss a format for the event. Carried.

Action: Ron Parker to contact above Clubs to discuss event.

▪ Rob Milner suggested another season-long competition which emphasises participation, not necessarily racing.

▪ Discover Sailing in conjunction with Sail Melbourne

▪ 2014 Victorian Championships. Action: the Secretary was asked to write to Safety Beach SC seeking confirmation of 22/23rd February 2014 for Championships.

▪ It was suggested that the EoI for the 2015 Victorian Championships should be sent to all Victorian Clubs early in 2013.

7. REPORTS

7.1 Chairman’s Report

Mark reported on the 2012 YV Awards Night on 20th June. Well attended, well run night. Plaques, plus some prizes were presented to winners of 1st, 2nd and 3rd in each Division of 2012 Victorian Championships.

7.2 YV Representative – Nil report

3. National Trailable Yacht & Sports Boat Committee John Burgess absent

Chairman read out emails from John Burgess inviting the TYD to join with the Australian Sports Boat Association in conducting a joint Australian TY and SB Championships at Royal Yacht Club of Victoria at Easter 2013. After much discussion involving costs of such a venture, the late notice given to the TYD and the fact that the TYD had already organised the Victorian Trailable Yacht Championships at GLYC the week earlier, it was moved Des Russell, seconded Rob Milner that the TYD would not support the proposal. Carried. Action: Mark McLellan to draft letter of reply to ASBA.

The meeting also affirmed that it would look favourably on such a venture in future years, given much earlier advice. Des Russell suggested that a copy of the letter be sent to YV.

7.4 RISK MANAGEMENT & SAFETY REPORT Rob Milner

Rob reported on the YA “Club Risk Management Template” workshop which was held at RBYC in July. Clubs are encouraged to use this template. Rob also has a Club Safety Manual which is a practical safety guide for Clubs. Rob asked that any Club wanting to know more about the template or the safety manual should contact him.

7.5 CBH & MEASUREMENT Phil Mannes absent

Ron Tormey has measured Joe Vaughan’s boat and that the figures are with John Burgess. Ron has spoken to Joe and advised him of the process to gain a CBH for his boat ie Appendix C of the ATYSBR.

7.6 EVENTS COORDINATOR

Ron Parker volunteered to act as TYD liaison person with GLYC to conduct 2013 Victorian Trailable Yacht Championships.

7.7 RECREATIONAL BOATING

Rob Ballard is checking Club and Association websites for 2012/2013 cruises.

8. PROMOTIONS Colin Orchard

Colin reported that there were very few replies to his email to all Clubs and Associations re his request for feedback on conducting a social event at Docklands on October 20th. However after discussion it was resolved that the TYD proceed to organise a Season Opening Night, in conjunction with the Magnum Association, at a Docklands venue on that night. James Squire was suggested as a venue. Format of night was discussed with most favouring a social night, no speaker but the Bob Couper Memorial Quiz. Action: Colin to liase with Paul Jenkins to book James Squire for the 20th October, and prepare a flyer to be distributed to all TY Clubs and Associations.

9. PARTICIPATION COMMITTEE Rob Ballard

Rob reported that there is a new approach and a new name for YV promoting participation in sailing. YV have also developed a new website. Discover Sailing will be held on the 11th November 2012.
